The Critical Care Directorate is seeking to appoint an Audit Data Co-ordinator to join their Critical Care Audit Team in this extremely busy directorate.

The holder of this post will be responsible for and overseeing a team for the collection, input, validation and interpretation of audit data from the Critical Care Units at the Royal Hallamshire and Northern General Hospitals.

Main duties of the job

To ensure that all information and data required for the ICNARC Case Mix Programme, Department of Health, Operational Delivery Network, Sheffield Teaching Hospitals and any other audits, local and national within the Critical Care Department are provided accurately and complete and within the required timescales.

The successful candidate will be educated to GSCE level (or equivalent) in English and Maths at grade 4/C or above, have NVQ level 3 or relevant experience in processing of data with a working knowledge of timely and accurate data input and extraction in a variety of databases.

The applicant must have a working knowledge of medical terminology, procedures and diseases.

Previous clerical experience in a health care environment is essential.

They must have the ability to adapt to change of working practices to meet the needs of the department, be able to work to strict deadlines with attention to detail, have excellent communication skills with the ability to work on one's own initiative and to prioritise the workload.

Critical care in Sheffield Teaching Hospitals NHS Foundation Trust (STHFT) comprises of four units: General Intensive Care Unit (GICU) at the Northern General Hospital (NGH) , High Dependency Unit (HDU) , Critical Care Department at the Royal Hallamshire Hospital (CC RHH) and Neuro Critical Care (Neurosciences RHH)

Critical care is the care provided to patients who require intensive monitoring and / or the support of failing organs.

We are a CQC outstanding directorate delivering care to the highest standard. We have a highly motivated MDT who continually strives to ensure our service meets the needs of our patients.

The Critical Care units admit around 4500 patients per year. The Audit team is a small team who work flexibly across both sites to cover the audit service, collating data and responding to requests for data. The team works Monday to Friday excluding bank holidays.

To observe agreed standards in providing the best quality of care to all patients thus contributing to the overall efficiency and development of the service

To plan and initiate a daily working Rota for Critical Care Audit Clerks arranging cover for annual leave and sick leave

Core training and supervision of the Critical Care Audit Clerks in the development of their role to ensure accurate data collection.

Support the appraisal process for the audit clerk team and give timely feedback on team performance.

Induction of Critical Care Ward Clerks to the Critical Care audit function.

Responsible for ongoing daily data collection for ICNARC Audit, CCMDS and and the co-ordination of inputting of these data into the appropriate databases.

Responsible for the validation and extraction of data and submission of ICNARC Audit, CCMDS and any other mandated data to meet the established time deadlines

Responsible for accurate clinical coding of all Critical Care admissions using knowledge of medical terminology and anatomical and physiological terms with the ultimate aim of improving quality and outcomes for critical care patients by accurate reporting of clinical data and also to ensure accurate payment for the critical care period

Extensive extraction, interpretation and analysis of data from patient records, including the Hospital Administration System and the Results Reporting System (ICE) allowing the monitoring of the quality of care

Analysis of complex clinical data using at a minimum basic descriptive statistics and systematic and accurate methodology to prepare and produce high quality presentations and monthly reports for General Manager, Nurse Director, Clinical Director

Respond to ad hoc requests for detailed information from the MDT within the Critical Care areas and the wider trust.

To collect information as requested by the Quality & Audit Sister to provide accurate information as required within the policies and procedures and methods for collecting clinical information for use in all audit projects

Implement policies and new work processes within the Critical Care Audit Office to improve methods and accuracy of data collection within the Critical Care department

Co-ordinate with critical care staff for ad-hoc audit projects, develop and design databases as required. Collate, analyse and assist in the presenting of results and findings and production of reports

Ensure patient confidentiality by adhering to the Data Protection Act, Caldicott and Information Governance policies and procedures

Work as a team member to continually assess and implement initiatives for Service Development

Provide administrative support to the Quality & Audit Sister in preparation of meetings, taking and distribution of minutes as required

Identify potential sources of income for the directorate by providing a cost of private patients to the Group Accountant and ensure the timely reporting of overseas patients to the trust finance department.

Qualifications
Essential criteria
  • 4 GCSE's or equivalent including Maths and English at Grade C/4 or above or equivalent experience.


Desirable criteria
  • NVQ level 3 or equivalent in all Microsoft Office Applications or working towards or equivalent experience.
  • Audit / Clinical Effectiveness training /qualification


Experience
Essential criteria
  • Be able to demonstrate an awareness of all local, national legislation/policies relating to all aspects of data collection, storage and transfer
  • Possess good leadership, communication (verbal and written) and supervisory skills
  • Knowledge of medical terminology
  • Ability to analyse and communicate complex information for audit projects
  • Excellent organisational skills in meeting strict deadlines and prioritising own workload and managing the workload of the team.
  • Evidence of strong commitment to working in a team environment
  • Confidence in dealing with departmental and external queries from professionals at all levels in a professional manner
  • Previous experience of working in a health care environment.
  • Previous experience in audit data collection and data entry
  • Previous experience of Hospital Administration Systems

  • Experience of working independently without close supervision
  • Ability to supervise staff and allocate workload.
