  • Serve as subject matter expert to the line of business for supplier contracts
  • Responsible for the Contract module in 3rd party systems, including but not limited to Coupa & FITS
  • Create and implement best practices, strategy and efficiencies for contract management
  • Maintain detailed and organized files
  • Manage the data input, storage and accuracy of documents in the contract modules: update, maintain, attach electronic files and meta data fields in tools and close-out records for terminated contracts
  • Maintain an accurate database of auditable files by supplier that includes the original contract, amendments, SOWs, NDAs, Schedules and approval documents to mitigate risk
  • Ensure all contracts are fully executed
  • Utilize Coupa P2P tool and FITS (Financial Information Tracking Systems) database to track all contracts, locate missing contracts in other tools such as Email, TCM, Shared Drives, etc… and consolidate centrally
  • Establish and maintain relationships with key partners within Sourcing and the business units
  • Liaise with Sourcing Team/Buyers/Business Partners/Vendors throughout the lifecycle of a Contract, ensure to maintain accurate database.
  • Train partners to search for and find key information in contracts
  • Utilize vendor portals to validate open and active agreements
  • Support Internal and External audits by providing electronic contract copies and related reports within the timelines given
  • Responsible for creating and maintaining documentation on all contract management processes, naming conventions, as well as other related policies and procedures
  • Manage weekly performance metric reporting, tallying total contract count and contracts , by vendor, sourcing manager and business unit changes
  • Create and deliver automated category renewal reports monthly to sourcing managers and all category renewal reports to sourcing leadership and business partners as required

Experience should include:

  • Bachelor's degree in Business or related business school equivalent
  • Two to three years of experience in the financial services industry
  • In-depth knowledge of contract, inventory systems or similar tools
  • Experience working in fast-paced, high demand environments
  • Exceptional time management skills and the ability to prioritize and multi-task
  • Ability to build collaborative relationships with a variety of areas (internal and external)
  • Ability to plan and act proactively to meet internal demands and requirements
  • Strong written and oral communication skills utilized both internally and externally with vendors
  • Experience reviewing detailed documents and processing accurately, attention to details to maintain accurate and detailed reports
  • Strong ability to adapt to changes and fast learner
