Risk and Compliance Assistant, 12 month FTC

What is the purpose of the role?

To ensure all data into and from the Concur Expense system is accurate and maintained upto date. To ensure expense claims are processed in a timely fashion and any claims which breach company policy are justified and appropriately authorised. To provide support and training to users, authorisers and key stakeholders for expense related matters. To administer the company corporate card & fuel card programs. To manage meetings and events bookings

Responsibilities
  • Recipient for and action of all requests for changes relating to data and configuration within the system including:
    • Movers, Leavers and New Starters
    • Authoriser changes
    • Car Allowance allocations
    • Cost, Project, Capex, Nominal changes with GL
    • Policy changes (mileage, allowances)
  • Manage allocations of roles for each user within system (authoriser, secondary authoriser, proxy, fuelcard holder)
  • Provide support and training to users, authorisers and key stakeholders in use of the system.
  • Ensure compliance to Company Policy challenging claims that do not comply
  • Ensure cash pools within the system are appropriately managed
  • Ensure accurate flow of data to enable journaling of all expenses costs including system charges.
  • Ensure audit rules are maintained and claims held within audit are reviewed in a timely fashion
  • Provide monthly reporting on Fuel card usage ensuring users are reconciling correctly and on time - escalating where required.
  • Administration of corporate, fuel and purchasing cards, including
    • entering all details onto the expense system
    • requesting new cards on receipt of fully completed forms (application and declaration) and relevant approvals
    • placing travel markers on cards,
    • managing card limits (against agreed processes)
    • sending reminders for reconciliation, escalating where cardholders breach reconciliation periods.
    • provide support to employees with managing, tracking and reconciling card transactions
    • providing data in respect of delinquent users
    • Support users with queries liaising with HSBC as required.
    • Manage leaver process to ensure no outstanding actions


Support Travel & Expenses Manager with projects as required to deliver value to business Manage and oversee bookings with TMC for meetings and events

  • Ensure bookings demonstrate value for money
  • Provide monthly journal files on time and in accordance with original bookings, correctly coded to original cost centre


Where need necessitates support Travel Team with bookings during times of absence or peak periods

Essential and Desirable Skills

Technical Proficiency in the use of Microsoft Office Suite, strong Excel skills
Proficiency in the use of Email.
Finance experience and understanding

Retail or Finance background (desirable)

This is a FTC for 12 months.

Flex working so home working and one day in the office at Weymouth, building to two days in the office by September.

£20,000 / £21,000 - this is more of an admin based role within the Compliance and Risk Department.
