Role Overview
This role will initially work within a project team to lead the payroll workstream to set up Oracle cloud to stand up payroll for the first six to nine months. Once Oracle cloud is fully integrated the successful candidate will move into the People Services team as the Payroll and T & A support Manager. This role will sit outside of the daily processing of payroll but will provide back office support to ensure smooth running of time attendance through to payroll. This role will carry out checks, internal audits and ensure that processes and controls are adequate to meet statutory and legislative requirements. They will make recommendations for improvements and act as a trouble shooter as required. They will also be the point of contact to for external auditors and support any audit process.
This is a remote role with some travel to Chippenham Head Office

How will you contribute?
During the Project:
  • Understand Wincanton's business process requirements and be able to assess the impact of adopting the relevant Oracle standard processes.
  • Identify the key resources that will need to input into design decisions and provide that input into the requirements and design activities. To ensure the optimum end to end solution is leveraged.
  • Collaborate with the System Integrator Functional Consultants to ensure alignment with business and Oracle processes under the Adopt and Adapt methodology.
  • Identify change impacts and work with the business to understand the changes required to working practises and behaviour.
  • Owner of level 5 processes and ensure that the designed solution is operationalised to operating procedures, key metrics and reporting.
  • Input into the design of any training material and delivery planning.
  • Maintain a holistic view of the wider workstreams to ensure that collaboration is sought to overcome any perceived conflict presented by a system process with another workstream.
  • Responsibility for supporting all project lifecycle activities including:
    • Design including role-based controls
    • 3rd party integration
    • All testing activities including UAT and undertaking such tests where necessary
    • Data migration
    • Cutover planning & implementation
    • Post go live support
    • Risk and issue management
    • Weekly workstream reporting
Post Project Business as Normal
  • Carries out checks and regularly audits payroll processes to ensure that people are paid in line with statutory/legislative requirements.
  • Acts as an escalation point for payroll set up and performance issues; acts as the trouble shooter and go between operations and the People Services team.
  • Provides technical and system support to set up new service conditions, elements and payroll requirements.
  • Keeps up to date with Oracle Cloud developments and translates the impact on payroll.
  • Liaises with the people/management teams when something goes wrong with payroll, provides a recovery plan and lesson learnt document for every case.
  • Acts as the expert lead if a BCP needs to be enacted; i.e. setting up new payroll processes such as the Job retention scheme Keeps up to speed with legislative changes; updates stakeholders, advises on the impacts to processes and provides training to the payroll team.
  • Supports T & A and payroll related projects as and when required.
  • Produces and supplies Adhoc summary reporting and statistical information on payroll data.
  • Leans in to support the Payroll team when required i.e. supports year end activities.
  • From time to time you may be asked to complete activities and duties outside of this job description that aid the smooth running of the wider People team and Wincanton.

What will you bring?
  • Strong understanding of UK payroll legislation and ensure compliance
  • Define all required payroll processes, approvals & workflows
  • Define work patterns and rules based calculations
  • Drive the harmonization of pay dates, absence schemes, pay elements and work patterns
  • Ensure integrations to HMRC (Making tax digital), payments to employees and 3rd party providers
  • Understanding of Wincanton Kronos solution and integration
  • Definition of the Oracle Time and Labor scope of operation
  • Lead payroll parallel run activity
  • Work with the Finance workstream to ensure reporting requirements to general ledger (end to end process)
  • Define Payroll reporting
  • Define process for creation & publication of P45s, P60 & P11d's
  • Identify requirements and establish the Irish payroll solution
