Finance Manager – Job Specification
To advise senior managers on all aspects of the company’s current and projected finances to enable them to successfully run the company in the most cost effective and efficient way. Manage the companies financial systems to ensure accurate invoicing, payment, credit control and cash flow. Maintain and manage all aspects of finance and payroll functions.
Reports to the Managing Director.
No direct line management responsibilities.
Personal SkillsCommunications skills (both written and verbal) - Able to communicate effectively and clearly with senior managers on key financial issues for the company. Establish trust and confidence with management colleagues, through an effective grasp of the financial issues, in all communications.People skills - Able to work both sensitively and assertively with suppliers, clients and other stakeholders to manage and influence Image Factory’s financial reputation. Analytical skills - Able to quickly interpret and report on financial data, variances, cash flow and financial risks. Demonstrate good commercial awareness to make and assist other managers to make the right choices on expenditure.Technical skills - Strong all round accounts, book-keeping and payroll experience, AAT qualified or qualified by experience and very comfortable with Excel and Sage. Good all-round IT skills and knowledge of Microsoft office. Good understanding and knowledge of financial controls and reporting. Capable of maintaining accurate paper and electronic records.Management skills - Able to work on own initiative, proactive in developing and improving financial systems and reporting.
Specific duties are, but are not limited to:·Financial management Process and manage accruals and prepaymentsProduce trial balance and profit and loss accountsProduction of various financial month end and annual reports as required by the Managing Director and other senior staffProduction of VAT return and timely and accurate payment to HMRCManagement of annual and ad hoc auditsDevelop and maintain appropriate financial policiesDevelop and adapt processes to meet the changing needs of the company, including euro transactionsDevelop post production cost analysisSupport the MD in monitoring, managing and improving company KPIs effectively·Purchase ledgerSet up new supplier accountsProcess invoices and credit notes, ensuring correct nominal codes are usedUndertake reconciliation of supplier accountsReconcile ledger at month endPrepare and process timely payments to suppliers ensuring DCO’s are kept within company limits·Sales ledgerProcess invoices and credit notesCredit check new customer accounts and ensure that adequate credit insurance is in place for all customer accountsCredit controlProduction of sales reports at month end and on an ad hoc basis. Reconcile ledger at month endCalculate customer rebatesCalculation of sales reps commission to agreed rates·Cash control Ensuring that the cash is managed within the companyUndertake appropriate bank reconciliationManage transactions through the Trust AccountProduction and maintenance of cash flow forecasts·SalariesCalculate and process salaries, including associated overtime, company sick pay, statutory payments/deductions and subsequent payment in a timely mannerEnsure the pension scheme adheres to current legislationTimely and accurate payment of PAYE to HMRCSubmission of all HMRC forms as and when requiredReconciliation and submission of HMRC year end returnsIssue pay increase notices and letters when requiredEnsure effective record keeping for HR purposes.
