Job Summary Description:

Responsible for accounts payable and time/billing duties, date entry/filing/reconciling, processing weekly office–related vendor and on–demand check requests. The position requires timely verbal and written communication to vendors, secretaries, attorneys, and other Firm personnel regarding the status of vendor payments/billing entries. Special projects, as needed, will be assigned.

Billing Assistant Essential Duties:

  • Print and distribute monthly pre–bills;
  • Review and edit pre–bills for final billing;
  • Review and reconcile monthly invoices as appropriate;
  • Assist with final bill preparation;
  • Assist with any other billing projects on a daily basis;

Accounts Payable Essential Duties

  • Receive, code, process, and verify accuracy of vendor invoices;
  • Processing check runs, scanning, importing to file, and mailing;
  • Investigate and resolve discrepancies;
  • Filing and updating vendor records, both paper and electronic;
  • Verification and calculation of employee reimbursement expense reports;
  • Enter journal entries and transactions daily.
  • Prepare accounts payable reports as requested;

Knowledge, Skills and Abilities Requirements:

  • Ability to use Ten Key calculator by sight and touch;
  • Demonstrated proficiency with all Microsoft Office applications, including intermediate–level Excel skills;
  • Outstanding organizational skills required to manage time, effectively prioritize tasks, and handle multiple deadlines;
  • Ability to communicate clearly and concisely, both verbally and in writing;
  • Must have ability to deal professionally with employees and outside vendors on all levels;
  • Must have ability to demonstrate excellent interpersonal skills;
  • Must be responsible, highly motivated, accurate and detail–oriented;
  • Must be able to keep client matters strictly confidential;
  • Ability to lift files weighing up to 25 pounds;

Education/Experience Requirements:

  • College degree preferred
  • Prior law firm accounting department experience preferred, or equivalent accounting/billing experience preferred.
