Vendor Management Business Analyst, Soft Services

The Business Analyst is responsible for supporting soft services operations within a defined portfolio of properties for a specified client. This role manages administrative functions including reporting, process documentation, governance, communications and initiatives. The focus support areas will be Secure Destruction Services, Vendor Managed Parking, and Media Services with the potential to gain experience in additional areas. The candidate will be expected to provide superior client service while enhancing their individual personal and professional skills. The role is Client facing and must be able to exhibit exceptional customer service and communication skills.

What this job involves

Key Responsibilities:

  • Support data collection, analysis and reporting to ensure alignment with the Clients' goals and objectives
  • Compile monthly / quarterly / annual reporting on performance, process controls, audits, spend and vendor service level agreements
  • Ensure playbooks, procedures and guidelines are documented to enable consistency in delivery across the services
  • Develops high impact presentations and Excel analysis
  • Assists in the development and management of communications
  • Organize and oversee planning for events and team meetings
  • Facilitate the change management framework, ensuring governance routines are followed for Soft Services
  • Work collaboratively with the account team in the delivery of the services across all business lines (Facilities, Engineering, Transactions, Projects, Planning, etc.)
  • Manage and oversee cost reduction programs to reduce operating costs while maintaining desired environments
  • Identify potential risks and escalate, as appropriate, to ensure no privacy breech, security incident or disruption to the Client's operations occur
  • Improve the efficiency and effectiveness of the Soft Services Platform including initiatives that improve on-time performance, quality, risk reduction and savings targets
  • Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting and participating in the development of best practices, new tools, process re-engineering and other ideas that provide service delivery efficiencies
  • Perform additional job duties, as requested

Qualifications
  • Bachelor's degree or equivalent
  • 3 - 5 years experience in supply chain, operations, project management, property management and/or knowledge of commercial real estate, preferred
  • Strong analytical skills
  • Think strategically with a passion for learning
  • Ability to manage multiple priorities and deliver results in a fast-paced environment
  • Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service
  • Ability to work independently - strong prioritization and time management skills
  • Excellent verbal and written communication skills with the ability to communicate professionally
  • Proficient skills in Microsoft Office Suite (Excel, PowerPoint, Visio, SharePoint and Outlook)
