  • Barry University School of Law seeks an Accounting Specialist. This is a full-time position working 40 hours per week. The Accounting Specialist is responsible for Accounts Payables, Receipting Student Payments, assisting students with reimbursement documentation, maintaining office supplies and purchases, Administrative Office tasks and related bookkeeping functions as they arise.


Anticipated Hiring Range: Mid $30,000

Essential Functions

Finance/Accounts Payable:
  • Process invoices, contracts and receiving for approval and payment in accounting system.
  • Process all Vendor Information Packages for Finance, Facilities and Students, ensuring proper documentation has been collected and maintains vendor files.
  • Participate in use of software package such as Workday (to submit invoices, contracts, purchase orders and receipts) and Colleague to receipt student payments.
  • Maintain vendor contract details for payment and timely renewal. Code and submit standard utility and re-occurring bills (e.g. Windstream, FedEx, etc.) for payment.
  • Prepare Requisitions and Purchase Orders for processing. Keep accounts current, research vendor payments, respond to accounts payable inquiries.
  • Assist students with travel reimbursements and student organization purchases and expense tracking
  • Maintain check register for law school expenses on a weekly basis. Assist with preparation of various annual reports.
  • Assist with year-end closing duties and contract renewals and entry for new fiscal year.


Administrative Duties:
  • Filing, correspondence (both written & verbal), vendor relations/dispute resolution. Preparation & review (when appropriate) of letters and emails to vendors, staff & colleagues on accounting and financial matters for the Director of Finance.
  • Assist employees with questions and inquiries regarding payments submitted via the Workday accounting system.
  • Cross-check data from budgets, schedules and spreadsheets for final review by Director of Finance.
  • Order office supplies and monitor inventory for law school.
  • Assist Director of Finance with implementing efficient tracking system for law school purchase orders. Liaison between main campus and law campus for procedures and problems resolution..


Cashier Duties:
  • Serve as cashier for the law school, accepts all cash, check and credit card payments for tuition and other charges.
  • Receipt TMS & VA funds from Financial Aid office.
  • Scan checks via bank equipment or make an occasional trip to the bank to make a deposit.
  • Maintain confidentiality of student records by following FERPA laws.


Special Projects:
  • Prepare Excel Spreadsheets for departmental use for budget comparisons.
  • Assist other departments when needed on administrative projects.
  • Perform other duties as assigned or required.


Qualifications/Requirements
  • High School diploma or GED required; Associate's Degree or Vocational Training in Business or Financepreferred
  • Three to five years financial/accounts payable experience required.
  • Must possess a valid Florida Driver's License
  • Abilityto reconcile accounts
  • Must be organized and able to set priorities to accomplish daily tasks
  • Must possess computer skills in Microsoft Office and ability to learn accounting and budgeting software system
  • Use of copier, fax and ten-key machines is essential.
  • Must be able to communicate effectively and professionally with students, staff and faculty
  • Must be able to maintain confidentiality when handling sensitive data.
  • Ability to produce quality work.
  • Work must be accurate, timely and professional.
