Job Description:
To provide accounts payable and reconciliation services for a book publisher, UT Press.

Job Details:
Responsibilities
  • Review invoices for accuracy and process invoices for payment. Prepare various types of payment vouchers (VP1, VP2, VP7, VPE, VT5, VT6, bank wires). Serve as point of contact with the Office of Accounting to resolve processing issues. Set up vendors' IDs for new payees. Maintain departmental voucher files. Obtain and reconcile Procard supporting documentation. Reconcile unit's purchases with receipts.
  • Code and enter all vouchers into general ledger software (Acumen). Prepare and enter various monthly journal vouchers. Reconcile general ledger to Office of Accounting's Statement of Accounts. Identify and correct discrepancies.
  • Create purchase orders for independent contractors (freelance, readers, designers, etc). Monitor PO balances to match PO's original amount.
  • Process purchases orders and perform purchasing related functions. Monitor blanket purchase orders and encumbrances to ensure funds for the entire year. Order office supplies via Points Plus. Strong familiarity with Handbook of Business Procedures.
  • Instruct and assist unit's staff with entertainment and travel procedures and forms. Process travel authorizations and reimbursements.
  • Renew annual postal permits. Monitor postage meter balances, postage due balances and various journals postage accounts. Request postage funds as needed. Obtain and reconcile postage receipts. Prepare monthly vehicle usage reports. Coordinate vehicle repairs and maintenance. Monitor unit's driver eligibility.
  • Review and approve various payment vouchers as needed. Create IDTs for books purchased by UT-Austin's units and departments. Review IDT accounts in Acumen and request copies of invoices from Customer Service to charge UT departments. Assist customer service, as needed.


Required Qualifications

High school graduation or GED. Four years of experience in governmental or commercial accounting. Experience using Microsoft Word and Excel. Experience using Filemaker Pro or other database software. High level of accuracy and attention to detail a must for this position. Experience using standard office machines and ten-key adding machine by touch. Experience performing data entry and data retrieval functions. Excellent clerical skills. Excellent verbal and written communication skills.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

College degree in accounting or other business related area. Experience using DEFINE, Points Plus, and UT Market and related web-based modules. Experience composing correspondence. More than four years of data entry and accounting clerk experience. Self-motivated individual willing and able to learn a variety of tasks in order to assist the department as needs change. UT-Austin experience.

Salary Range

$40,000+ depending on qualifications and years of experience.

Working Conditions

Under normal conditions (non-pandemic), work will be performed in the office at Lake Austin Centre 3001 Lake Austin Blvd. Due to Covid-19, will primarily work remotely to begin, though some training and work will be required at our physical location at Lake Austin Centre. Schedule to be discussed.
