Job Description

The primary function of this position is the post award financial function. Responsible for Grant Accounting including but not limited to journal entries, payments, and receivables. The position will be responsible for new account set up and close out. This will also include communication with PI's as well as Accounting Manager.

Responsibilities:
  • Post Award accounting Journal Entries.
  • Review expenditures charged to sponsored project accounts to ensure they are allowable, reasonable, and allocable in accordance with all applicable administering regulations.
  • Monitor account balances and other cash management duties including drawdown funds from Federal Financial sites and follow up on outstanding receivables.
  • Prepare accurate and timely invoicing and budget reports on sponsored project accounts. Ensure payments are received and accounts are accurately credited.
  • Ensure personnel being paid from, or contributing time to, a qualifying sponsored project certify their effort in the A&M's electronic system as required by policy.
  • Set up grant files and spreadsheets.
  • Internally and externally close grants in accordance with federal and university requirements.
  • Communicate with PI's and project directors. Send notice of awards with pertinent information at beginning of grant. Send notices of expiration.
  • Maintains 100% compliance with timely completion of required System, University, and job-specific online training courses.
  • Year-end duties as assigned.
  • Other duties as assigned.


Necessary Qualifications:
  • Bachelor's Degree in Accounting or equivalent combination of education and experience.
  • Two years of accounting experience and/or understanding of Generally Accepted Accounting Principles.
  • Experience with PC based spreadsheet applications.
  • Good oral and written communication skills; ability to effectively interact with the University community.
  • Detail-oriented with the ability to communicate financial data.


Preferred Qualifications:
  • Experience with Higher Education or Governmental Fund Accounting.
  • Experience with Sponsored Projects/Grants.
  • Experience with Ellucian - Colleague Financial System, Proficient in MS Excel.
