Brandeis University seeks to hire an Accounts Payable Assistant who will be responsible for activities in the University's Procurement and Business Services office. Activities include high volume processing related to payment requests, customer service, compliance, process improvement, and other activities as defined below.

Examples of Key Responsibilities:

Processing: Responsible for processing payment requests from across the University using the WorkDay Accounts Payable (A/P) module as well as the Coupa Procure-to-Pay module. Processing includes:
  • Logging requests upon receipt; checking requests for completeness and accuracy; establishing that appropriate documentation has been provided
  • Identifying errors and discrepancies and resolving those issues
  • Vouching requests into the A/P module; supporting, if necessary, the process of check-runs, ACH requests, and wire requests
  • Collecting W-9s and W-8s; supporting, if necessary, the process of issuing stop-payment requests; approving positive pay exceptions, and processing voids/re-issues

Customer Service: Provide best in class customer service to the University community, vendors, and team members.
  • Communicate consistently with a proactive, professional attitude, prioritizing the quick resolution of customer needs while maintaining compliance with regulations and University policies.

Compliance: With support from the Procure to Pay Manager, responsible for compliance with governing regulations and University policies. Governing regulations include, but are not limited to:
  • IRS regulations and federal guidelines regarding expenditure of federal awards.
  • University policies include policies related to procurement, travel, business expenses, and business reimbursements.


Bachelor's Degree preferred plus 1-3 years experience.

The selected candidate must be a highly motivated individual who is customer service oriented, ethical, and professional; exceptional data analysis and excel skills; high attention to detail; strong verbal, written, and interpersonal communication skills a must.
