GENERAL DESCRIPTION

The Accounting Assistant maintains the Accounts Payable and Accounts Receivable function assuring that expenses, revenues and receivables are coded to correct grant and line item budget(s) for COVID-related grants. This position may perform coding and data entry tasks for A/P, A/R or Payroll.

MINIMUM QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High School Diploma or General Education Degree (GED); and a 2 year certificate from college or technical school and 3-4 years related experience and/or training in bookkeeping, accounts payable and accounts receivable, or equivalent combination of education and experience.

CERTIFICATES, LICENSES, REGISTRATIONS
  • Valid Oregon driver's license, satisfactory driving record, current liability insurance and automobile available for use on the job.
  • Registration with the Child Care Division in the Central Background Registry.

ESSENTIAL DUTIES and RESPONSIBILITIES
  • Prepares monthly rent documentation for payment; tracks associated contracts and forms.
  • Prepares reversals for accounts payable voided checks.
  • Sets up and reconciles supply and agency administration invoices.
  • Assists in reconciling all general ledger accounts related to COVID-19 grants on a monthly basis, notifying the CFO or Accounting Manager of any concerns.
  • Accurately inputs journal entries into accounting software.
  • Ensures all journal entry numbers are accounted for and the computer data entry transaction report is attached to each journal entry.
  • Assists with monthly general ledger financial report delivery to all Programs Directors with COVID-19 grants.
  • Reviews any payroll allocation information entered into general ledger for accuracy.
  • Performs any other tasks as necessary.

PHYSICAL DEMANDS
  • Specific vision abilities required by this job include close vision and ability to adjust focus.
  • Occasionally lift up to 25 pounds.
  • Manual dexterity for handling office equipment.

WORK ENVIRONMENT
  • Indoor, office work environment with frequent interruptions and demands.
  • Working with coworkers/clients over the phone and in-person.
  • Occasional noise and distractions in work spaces.
  • Occasional remote work.
