The successful candidate will work on the Accounts Services Team within the Shared Administrative Support Services area of the department.  They will work alongside existing staff assisting in the efficient delivery of an accounts service to support the activities of the Directorate. The Estates and Facilities Directorate comprises of approximately 400 employees with operational budgets in excess of €20m together with multi million euro budgets associated with large and small capital projects.  The Account Services Team provides accounts support across all areas of Estates and Facilities, including: General Services Premises Services Technical Services Waste Management Facilities and Services Shared Services Energy Insurance Trinity Technology and Enterprise Centre Rent & Rates E&F Management Capital Projects This role will suit an individual with an interest in working with financial systems, processes and procedures. Standard duties and Responsibilities of the Post: Responsibilities will include, but are not limited to the following: Processing of Purchase Requisitions in Oracle for capital project transactions. Processing of Invoices in Oracle and in-house Facilities Management system. Monitoring commitments and expenditure to ensure compliance with the University's Revenue and procurement obligations. Monitoring commitments and expenditure against approved budgets and funding levels. Review of E&F iSupplier report for timely receipts and preparation of charges for departmental services. Assistance with the reconciliation of departmental and project accounts. Assistance in the production of up to date financial reports on projects and areas budgets for internal and external queries, verification and analysis of data. Responsible for upkeep of Petty Cash transactions. Point of contact for supplier queries. Assistance with the preparation of audit files as required. Working proactively within the E&F Accounts Team to assist with the implementation of new policies and procedures arising from various process reviews. Any other duties as may be required to ensure the successful operation of the Estates and Facilities Accounts Team and the department as a whole. Person Specification Qualifications An accounts related qualification would be advantageous but is not essential.  Similarly, previous experience of working in a financial environment would be desirable. This role would suit applicants with an interest in working in the area of accounts. Knowledge & Experience (Essential & Desirable) A minimum of two years' experience working in an administrative or accounts role is desirable. Accounts experience is desirable. A knowledge and understanding of the Oracle Financial Information System is also desirable but not essential as full training will be provided. Experience of using in-house accounting packages is desirable. Experience of working with Excel is essential. Skills & Competencies A high level of IT skills, particularly in the MS Office Suite, including Word, Excel, Access and Microsoft Outlook is essential. An aptitude for figures is essential. Attention to detail and a high degree of accuracy is essential. The ability to work as part of a flexible team in a busy and challenging work environment is essential. Excellent oral and written communication skills with the ability to interact effectively at all levels within the University and with external stakeholders is essential. Excellent organizational skills with the ability to prioritise and multi-task and simultaneously meet deadlines. A motivated individual with a ‘can do' attitude and the ability to work on their own initiative.
