Scope of Job

An exciting role that supports the Chief Operating Officer, GIA in all key GIA tasks and activities relating to the portfolio. Provides exposure to key GIA Heads of Audit as well as to Senior Management within the bank.

This role is suitable for individuals that are:

  • Professionals in first line or second line of defence looking to develop an alternative career in Group Internal Audit (GIA) through gaining comprehensive understanding of GIA internal processes, systems and audit methodology under the mentorship of the Chief Operating Officer, GIA.
  • Internal Audit Professionals that want to gain an insight of the roles and scope of Senior Management (GIA MT) within GIA for preparation of potential future transition to a Head of Audit role or for functional internal auditors that aspire to move to a role with less travel requirements.

The Role Responsibilities

The Business Planning Manager is responsible for providing support to the Chief Operating Office, GIA in managing the Group Internal Audit function (GIA) globally in accordance with the Group's Audit Charter, as approved by the Audit Committee. This includes implementation of all strategic plans and monitoring all deliverables, and to drive important initiatives and coordinate key reporting.


Strategy & Business Performance
  • Provide support to the Chief Operating Officer, GIA in driving GIA's functional and people strategy and to deliver GIA performance scorecard.
  • Review, interpret, analyse and assess management information, including agreed upon KPIs, timely delivery of audits etc., for tracking of portfolio performance.
  • Work with the other GIA BPMs and Heads of Audit in developing corrective measures to improve non-performing KPIs, and to monitor the development, implementation and performance of GIA initiatives.
  • Provide information and data needed by the Chief Operating Officer, GIA to form an independent view of key risks to Group in relation to the portfolio(s).
  • Provide support to the Chief Operating Officer, GIA to ensure that the team remains current in terms of industry best practices, emerging risks, internal changes in management and regulatory expectations.
Business
  • The role spans audit activity across globally across all business areas within the function.
  • Develop a general understanding of business strategy, plans, products, processes performance, risks and issues for the portfolio
Processes - support for the portfolio
  • Work closely with the Chief Operating Officer, GIA and the leadership Team in contributing to the risk assessment process (including continuous risk assessment and annual risk assessment) to develop a detailed audit plan for the upcoming year.
  • Oversee the implementation and execution of the agreed audit plan across the MT portfolioin collaboration with the other audit teams
  • Work with the [Chief Operating Officer, GIA and Heads of Audit to identify the key themes, areas to highlight for management attention, or trends in data to prepare for committee papers and MCA scorecards; also work with the other BPMs to includes relevant themes etc from other portfolios, but which have relevance.
  • Facilitate the process for CHOAs/PHOAs to provide updates or inputs for committee papers.
  • Work with the [Chief Operating Officer, GIA] to ensure there are regular leadership team meetings for the portfolio and the meetings cover key topics such as underperforming KPIs, audits heading to adverse grades, status updates on audit reports, as well as strategic agenda items.
  • Assist the [Chief Operating Officer, GIA]in identifying areas and processes to improve on (e.g. process efficiency/enhancement, actions to address underperforming KPIs etc.) and drive the resulting initiatives (working with HOAs / audit teams).
  • Drive cost efficiencies where possible without compromising on the effectiveness of audits.
  • By joining dots and linking up with the other BPMs, Support the [Chief Operating Officer, GIA] in cascading top down messages.
Processes - support for the [Chief Operating Officer, GIA]

  • Manage stakeholder engagement plan for the Chief Operating Officer, GIA, identify topics to be covered and draft talking points / materials as needed before discussions.
  • Support the [Chief Operating Officer, GIA] in preparing any internal and external speaking notes, MI packs, and presentations as needed for a variety of forums, ensuring that key points are made in a focused, accurate and concise way and that key messages from them can be readily captured and cascaded by others.
  • Support the Chief Operating Officer, GIA in monitoring spend against budget and ensuring that cost efficiency is best achieved.
People and Talent
  • Support the Chief Operating Officer, GIA in delivering GIA people agenda - this includes support for people related initiatives, making people changes, managing headcount movement, job descriptions, job rotation requests, objectives setting and tracking for MyVoice results etc.
  • Work with the APS and Heads of Audit to ensure the team and audits are adequately resourced and staffed by an appropriate number of competent staff.
  • Support the Chief Operating Officer, GIA to build and embed the appropriate culture and values according to Bank's Priorities / Strategy and promote diversity at all levels.

Other Responsibilities
  • Facilitate / collate other key deliverables for the portfolio - weekly updates, APS representatives, country updates, quarterly CRAs, risk assessment activities and Board/Group committees' commentary

Essential:
  • Excellent organisational skills and attention to detail, but also with the ability to see the big picture a pre-requisite, including ability in developing robust system for tracking of deliverables and timelines.
  • Solid communication skills both oral and written. The ability to summarise very well to capture key messages in concise and clear manner.
  • Excellent interpersonal skills with ability to influence, negotiate and work with individuals at a variety of levels including Senior Management level.
  • Ability to keep calm under pressure, prioritise array of conflicting tasks and escalate as and when necessary.
  • Flexible, adaptable with strong ability to multi task.
  • Strong analytical skills with ability and drive to learn quickly to develop solid working knowledge of GIA internal processes, systems and audit methodology.
  • An ability to be proactive and recommend best approach in areas of judgment or ambiguity.
  • Solid IT skills including Microsoft Excel, PowerPoint and Word.
  • Highly responsible and self-motivated, with strong integrity and ethics. Trustworthy and able to operate with confidentiality.
Desirable:
  • Experience of approximately 5 years gained either in audit and / or business risk roles.
  • Good, deep knowledge of one area, and looking to broaden experience
  • Project management skills to understand, plan and coordinate various tasks.
  • Ability to apply strategic thinking to current processes, challenge status quo and drive change management in function.
