The position is responsible to oversee the monitoring, processing, recording and making of payments to vendors and suppliers to ensure they are paid in an accurate, efficient, and timely manner. He/She will manage all invoices and payments that go out on behalf of the Company to ensure that all expenses are properly recorded and all payments are paid in full and within payment terms, in accordance with the cash flow plan. Essential Duties and Responsibilities Oversees day to day management of all payment cycle activities and ensures efficient client services. Tracks, processes, and reconciles payments and expenditures, including purchase orders, invoices, statements, checks, etc. in compliance with financial policies and procedures. Ensures all appropriate data is entered into the relevant computer systems. Ensures correct approval, sorting, coding and matching of invoices/receipts. Manages receipt of physical invoices and ensures timely and appropriate entry into billing system. Assists the Finance Director in resolving any Accounts Payable related issues. Completes a thorough review of all bills, invoices and statements submitted to the Company. Coordinates with the Accounting Manager regarding invoices sent and payments received on behalf of the Company. Maintains the company name by promptly returning calls/communications with all vendors. Reviews and understands Company's accounting policies when coding invoices to appropriately track and monitor prepaid expenses and accruals. Checks supplier invoices against purchase orders, contracts or approvals. Manages the records of all paid bills for an appropriate length of time for the Company. Continuously improves payment processes. Handles any issues with customers or suppliers in a professional manner. Performs all tasks and duties in an efficient and safe manner. Performs other related duties as assigned or as necessary. Remains flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs Represents the Company in a manner that conveys professionalism, confidentiality, courtesy, fairness, personal integrity, and respect for others. Qualifications A. Education and/or Experience ??? Bachelor's degree in Accounting or related field ??? College course work in Accounting ??? Five (5) years of experience with managing Accounts Payable B. Skills and Abilities ??? Excellent organization, planning, and prioritization skills ??? Excellent verbal and written communication skills ??? Strong problem solving and analytical skills ??? High degree of accuracy and attention to detail ??? Ability to work in a team environment and independently ??? Ability to multi–task in a fast–paced environment ??? Must be able to meet strict deadlines ??? Must be able to handle confidential info ??? Must be able to take initiative ??? Ability to understand computer systems and applications ???
