General Summary (primary purpose for the position)

The Expense Payable team automates the expense accounts payable processing for the stores, regions, and Global office. The AP Specialist is an entry level position which will be responsible for managing incoming mail, scanning and validating invoices, managing scan exceptions, performing manual data entry into PeopleSoft and providing customer support to the clients regions, stores, and suppliers.

Will Do – Essential Functions

  1. Become an expert user of scanning and validation software that is at the core of the AP Automation business process at the client
  2. Validate expense vendor invoices including construction and TM reimbursements
  3. Perform tasks such as opening mail, scanning invoices, and managing scan exceptions
  4. Perform manual data entry into PeopleSoft as needed
  5. Provide superior customer support to regions, stores and suppliers
  6. Resolve support questions concerning accounts payable that are within the scope of the project. Support will include statement management and resolving questions about invoices, account coding, and payments
  7. Actively participate in team meetings
  8. Performs other related duties as assigned


Must Have (Knowledge, Skills and Abilities)

  1. Educational requirement HS diploma or Equivalent
  2. Two to four years grocery industry experience preferred
  3. Desire and ability to learn new applications and processes
  4. Strong attention to detail
  5. Ability to use standard business software such as Word and Excel at a basic level
  6. Strong customer service skills
  7. An unwavering desire to build win–win partnerships with other teams at both the Global and Regional level, with our stores, and with our suppliers
  8. Ability to perform business math
  9. Position requires flexibility for all shifts and all schedules including weekends
  10. Ability to maintain confidentiality
  11. Ability to stand or sit for long periods of time
