Job role

Office Services support and administration:
  • Coordination and planning of company events as required
  • Liaison with building management and ensuring that all office security and building cards are recorded and issued. Manage fire drills and office announcements
  • Responsible for Singapore facilities and administration budget
  • Negotiate/monitor hotel contracts/rates, travel agents, printing companies, stationery
  • companies/suppliers and serviced accommodation providers
  • Renewals of periodicals/newspapers/online subscriptions
  • Manage Office Services staff/team of 1 receptionist, 1 pantry lady and 1 despatch
  • Cover lunch time reception desk

Manage Travel and Expenses:
  • Manage travel arrangements and all supporting administration (such as manager approvals via CONCUR), invoices etc.
  • Supervise expense reporting administration
  • Manage company corporate card

Secretarial support:
  • Perform full spectrum of secretarial and business support to 2-3 senior managers (such as calendar
  • management, travel, expenses and others as required)
  • Arrange internal and external meetings/conferences including offsite meetings when directed
  • Handle sensitive information with a high degree of discretion

  • Take on projects or other duties as required

Key Result Areas/Measures of Performance: (Key Performance Indicators):
  • Efficiency of administrative and office management – services and processes
  • Customer relationship management & satisfaction – internal and external

  • At least a Degree holder
  • 5-10 years working experience in an MNC environment with preferably office administration and events planning background
  • Proficient in MS Office software (Word, Excel, Powerpoint)
  • Excellent interpersonal and a team player
  • Good oral and written communication skills
  • Able to supervise others and multi-task
