Experienced Receptionist / Office Administrator - South Dublin

Required:
  • A proven track record and minimum of 5 years experience as an administrator
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent Communications Skills
  • Positive attitude
  • Working knowledge of Sage an advantage
  • Previous experience as administrator within an engineering or related company a distinct advantage

Responsibilities
  • Phones/Reception - Responsible for answering phone and general reception duties including arranging couriers and checking answering machine daily for messages. Management of office stationery use and requirements.
  • Travel Arrangements - Main point of contact for all UK & overseas travel bookings via Travel agent and other direct bookings
  • Visa processing - Provide assistance & support in visa applications & processing for US and other locations
  • Credit Card - Raise POs for credit card purchases. Match invoices to monthly AIB credit card statements and enter codes onto spreadsheet (FC will train) ready for input to accounting system
  • Filing - Keep creditors filing system up to date - assist with general filing when required.
  • Motor Fleet - Administration of motor fleet documentation - arrange motor tax, issue tax and insurance certs to drivers and update spreadsheet with any changes and handle administration of fuel cards.
  • Foreign workers: Arrange accommodation/ union membership and other ad hoc requirements for foreign workers arriving in Ireland.
  • General Admin Support - Administrative support for head office including occasional secretarial assistance for MD.
  • Office Stationery & Kitchen Supplies - Monitor levels of kitchen/ bathroom supplies and stationary and purchase when required.
  • Office Maintenance - Liaise with facilities re bins, ensuring bathroom is adequately stocked. Main contact for facilities suppliers

Bookkeeping & Administrative Support :
  • Assist with daily maintenance of accounting records including ensuring proof of delivery is in place for HO purchases
  • Reconciliation of Supplier accounts
  • Handling supplier and Customer queries
  • Credit control

Salary: ₠30,000 depending on experience

Hours: 8.30am - 5:00pm Monday - Friday
