Job Responsibilities
Maintain the sales ledger

- Ensure timely posting of sales invoices and debit/credit notes into SAP.
- Ensure sales prices are up to date on Financial system and SAP.
- Maintain debit notes

- Maintain the debit note spread sheet, including updating for additions & processed debit notes. Upload spreadsheet into system.
- Ensure debit notes are processed within 2 weeks or receipt unless disputed.
- Ensure debit notes are authorised and coded correctly.
- Dispute any debit notes that are not authorised with the customer - promotional, operational & price - ensure these are resolved quickly (2 weeks) or escalate with the relevant Manager where resolution is not happening.
- Bank reconciliations

- All bank accounts should be reconciled to SAP on a daily basis
- Any outstanding items should be reviewed on a monthly basis and cleared where necessary
- Credit Control

- Keep debtor days to a minimum, average debtor days should be approx 50 days.
- Customers to be reviewed daily for non payment of outstanding invoices & chased where necessary.
- Review aged debt weekly and report any issues to the MA as part of a two weekly review
- Liaise closely with customers to resolve queries on invoices.
- Ensure daily remittances are posted onto SAP and allocated as per the remittance advice.
- Maintain customer accounts with the correct address, trading name, credit limit and credit terms.
- Ensure nominal journals, which will include transactions such as settlement discount, are posted into exchequer.
- Monthly statements of outstanding debt are sent to customers.
- Work closely with sales to ensure invoice prices are correct.
- VAT setup and review for export customers.
- Assist with Month End / Year End Close
- All invoices are checked and posted before close.
- Bank reconciliations are completed with any queries resolved
- All remittances and debit notes outstanding are put on SAP
- Assist Assistant Management Accountant with any reports needed for close
- Take responsibility for sales ledger during the audit including ensuring the ledger is immaculate, being a key contact for adhoc audit queries & walkthroughs.
