Job Description

LOCATION: Nairobi Kenya

CONTRACT DURATION: One Year with possibility of renewal

START DATE: Immediate

POSITION SUMMARY:

The Finance Officer reports to the Regional Admin, Finance & HR Coordinator. He/she will support the Regional Admin / Finance / HR Coordinator and directly be responsible for maintaining the cash and bank books, payments to staff members and other third parties including suppliers, performing clerical activities of the department, filling financial documents, etc. He / she will also support the Regional Admin / Finance / HR Coordinator in relevant Human Resource and Administrative matters as required.

KEY DUTIES & RESPONSIBILITIES:
  1. Maintain all financial systems for the SIF country/field offices, and ensure full compliance with SIF financial SOP's ;
  2. Daily update of the accountancy according to the project activities and finance needs;
  3. Double check of records, according to SIF procedures;
  4. Verify that all the receipts and invoices are correctly filled and they are eligible for SIF accountancy (indicating :date, details of the supplier, clearly written amount with the stamp paid) ;
  5. Archive all the relevant administrative and accountancy documentation in the proper way indicated by the Administrator and according to the SIF procedure ;
  6. Record and follow up all administrative expenses in the monthly expenses follow up;
  7. Management of the cashbox (check the invoices, process all advances, all payments, enter the information needed in the cashbook, daily/monthly inventory, weekly/monthly check etc);
  8. Ensure the respect of procedures before any payment(validation of all documents) ;
  9. Collect the bank statements by the 5th of the following month;
  10. Do proper monthly reconciliation for the cash and bank and let it be approved by the Administrator ;
  11. Collaborate in the preparation of documents for financial/annual audit;
  12. Compile field accountancies and check them and prepare monthly closing ;
  13. Assist the regional admin in conducting and coordinating internal/external audit of SIF and coordinating with donor, audit firm, governments etc;
  14. To maintain up to date knowledge of and implement national government requirements and regulations related to financial matters such as income tax ,Social security etc;


REQUIREMENTS:
  • A Bachelor degree in Business Management, Accounting, Economics or other relevant degree;
  • Minimum 5 years of experience relevant in the accountancy;
  • Demonstrated experience in applied accountancy and book keeping;
  • Experience in working in collaboration with NGOs, government agencies & other stakeholders;
  • Ability to build, manage and motivate teams and individuals to achieve set objectives and targets;
  • Experience in and commitment to participatory management and maintaining a supportive, open environment to ensure the transferring of knowledge & development of all staff;
  • Excellent written and spoken English;
  • Computer skills (MS Package), knowledge of SAGA software will be an added advantage
