Based in the centre of Oxford this post is for a Finance Manager to come in and manage a small team of transactional Accounts Assistants whilst also supporting the monthly reporting as well.

Client Details

The client is a long established and internationally recognised Educational Organisation organisation in the heart of Oxford. They have been supporting further educational courses for decades and have built up an excellent reputation.

You will be reporting into the Group FC who in turn reports into the Group FD who manages several entities within the overall structure.

Description

The key elements of the Finance Manager role will be to manage the Accountancy function consisting of:

Staffing

  • To manage, direct and supervise the Finance department staff ensuring that their workload is managed effectively and their individual roles are carried out as required
  • To ensure appropriate cover across the finance department at all times
  • To manage the payroll and associated functions:
  • overseeing the year end process;
  • checking the pay runs;
  • reconciliation and payment of monthly statutory contributions to HMRC and posting the month end journals to the accounting software;
  • preparing and submitting annual P11D expense returns to HMRC;
  • calculation and payment of Class 1 NICS.

Finance Controller support

To assist with the management of the audit function as follows:

  • Ensure the statutory financial accounts produced by the accounts software accurately reflect the financial position of the organisation for the year - reconcile the control accounts, process year end audit journals;
  • liaise with the auditors and oversee the external audit team for the duration of the annual audit under the supervision of Finance Controller;
  • reconcile the audited accounts with the financial accounts produced by the accounting software;
  • monitor the internal financial control functions of the finance department and introduce further controls as appropriate and as recommended by the auditors to safeguard the School's funds and maintain accurate financial records.

Student finances

  • To manage the credit control function; implementing, monitoring and reviewing debt collection procedures in liaison with the Finance Controller;
  • To produce management reports to identify the debtors on a weekly or fortnightly basis and inform the Finance Controller and other relevant members of staff of the action to be taken where necessary;
  • to contact parents/fee payer to recover any outstanding debts and take follow up action where necessary - small claims procedures etc.
  • To oversee the processing of the return of students' deposits;
  • overseeing the spreadsheet reconciliation with the accounting software;
  • checking and overseeing the transfer of payments

School finances

  • To assist in the preparation of annual budgets in consultation with the Finance Controller and Head Office
  • To review and feedback to Finance Controller on a regular basis
  • To manage the production of data for monthly management accounts including reconciliation of accruals, prepayments and deferred income
  • To process online payments as required
  • To prepare and process the intercompany payments
  • To ensure all bank transactions are recorded, reconciled and posted accurately
  • To ensure the Schools cash flow is maintained in liaison with Head Office and Principal
  • To reconcile Easter Revision Course and Advanced Studies Programme fee income with the accounts software
  • To ensure prompt and accurate payment runs to homestay providers in liaison with Accommodation and Welfare Officer
  • To manage and assist with year-end archiving
  • To ensure all sales/supplier invoices are raised in a timely and accurate manner
  • To ensure that bank transactions and nominal and purchase functions are accurately recorded, with relevant monthly reporting

Profile

The ideal candidate for the Oxford based Finance Manager will be able to show the following aspects:

  • Ability to juggle many priorities, often of ambiguous tasks and show a flexible nature
