ROLE
Reporting to the New Business Manager you will work for the UK TA Change / BPA Team within the UK Transfer Agency department.
The department provides a third party fund administration service to numerous fund management companies covering the full range of shareholder servicing functions.
The UK TA change / BPA team itself is currently a team of 17 full time staff in London and 9 in India. The prime responsibility of the team is deal with business support, system development, client new business / fund activity, client onboarding, client offboarding, business development, small change and major projects.
In the role the business process analyst / specialist will be cross trained as a subject matter expert to complete client new business / fund activity and complete and support UK TA business queries, system set-up, key initiatives, UAT and regression testing, required project work and operational readiness. The role will also include understanding the relationship and liaising with Fund Accounting, Custody, Depositary and IOO departments within Northern Trust and, to be considered as the team is established, externally.
CROSS TRAINED PRINCIPAL RESPONSIBILITIES
• To be a technical and subject matter expert on new business for UK TA on all fund activity projects, e.g. fund launches, fund activity, client onboarding, as allocated by the manager. Interacting with the Client's, external third parties, business teams and linked GFS departments.
• Attend or run external Client calls to go through current activity scheduled or for specific projects
• Develop good relationships with Client's and third party providers to benefit the new business / fund activity role and TA department
• Complete / quality check and maintain client specific account set-up on all TA systems, including Icon Retail, PS Financials, Data Governance Tool, FAILS, EMX, EXP-AG
• To be a technical and subject matter expert to support and complete business / client queries raised by the TA business teams
• Attend regular meetings with the UK TA Change / BPA Team
• Responsible for the rollout of agreed new procedures within the change / BPA
• Reviews existing procedures, processes, and problems and recommends where automation or improved processes can be implemented.
• Writes proposals and business requirements for system changes/enhancements. Implements new efficiencies to improve accuracy and timeliness and reduce costs and risk.
• Regression testing completion or sign off for large and small change projects/changes, including Icon Retail upgrades and document changes
• New Client / Fund activity / transition Unit Testing, User Acceptance Testing (UAT) and Client Joint UAT (JUAT)
• Interaction with external system providers (e.g. LineData Services, PS Financials)
• Documents high level process flows for process improvements and systems changes to assist business areas with procedure development.
• Handholds staff on new process changes and new business / fund activity. Conducts post implementation reviews to ensure desired process goals are achieved.
• Minimise errors in all deliverables at all stages
• Demonstrate learning and experience
KILLS / EXPERIENCE (*REQUIRED EXPERIENCE)
Experience
• Good knowledge of Northern Trust, transfer agency, the regulatory environment and the industry*
• Strong client focus gained in a financial services company*
• Process/Business analysis and improvement experience is desirable*
• Experience of training others desirable
• PC literate - proficient in the use of Excel, Powerpoint, Word, Adobe Acrobat*
• Desired, but not essential, proficiency in the use of Visual Basic to create Excel Macros, Visio and MS Project*
• Strong communication, first class presentation and internal and external client-servicing skill - both oral and written*
• Excellent Project Management skills - plans work in an efficient manner and able to set and work to obtainable deadlines*
• Good analytical and strong time management skills*
Systems
• Detailed knowledge of Icon Retail, PSF, EXP-AG and other related TA applications
• Understanding of how TA systems link and interface to other systems and an appreciation of how to implement such interfaces
• Acceptance testing and regression testing of new releases of software
• Train the trainer in the use of new and existing systems / processes
Process Skills
• Analytically and procedurally competent to represent the team on cross-function process or project deliverables
• Ability and desire to adhere to automation and standardisation of processes and propose enhancements
• Ability to provide input into long term strategy for department
Client Service
• Demonstrate an excellent NT client service culture and ensure that all clients receive a quality service*
• Ensure accuracy and timings are consistently achieved within the team and when not achieved actively pursue a solution. Ensure the team adheres to SLA and project deadlines*
• Collaborate and consult with managers and project/assignment stakeholders with ease. Prepare and recommend solutions to project/assignment issues and risk factors. Provide regular updates to the stakeholders on project status
