Job Summary:
The Accounts Payable Analyst is responsible for reviewing and analyzing incoming invoices to ensure accurate GL coding for proper cost accounting at the property level; managing approval workflow and following-up with approvers/management to ensure timeliness and accuracy of vendor payments. This position will be under direct supervision of the Accounts Payable Manager.
Essential Functions:
  • Reconciling incoming invoice / payment requests
  • Gathering necessary back-up materials from vendors for payment processing
  • Ensuring duplicate payments have not been submitted or processed
  • Verify expense / capital expenditure coding is correct
  • Communicating with field property management offices; providing support for processing
  • Monitoring rejected invoices and coordinating issues to resolve
  • Analyze accounts payable aging reports and identify process improvements
  • Background in processing high volume HOA's, Legal invoices, & Utilities
  • Knowledge and understanding of excel spreadsheet and upload processes
  • Assist Accounts Payable Manager with ad hoc projects, as needed

Physical Requirements:

This position will spend long hours sitting and using office equipment and computers which can cause muscle strain. The position may also have to do some light lifting of supplies and materials from time to time, up to and including 20 lbs. The position requires talking, expressing or exchanging ideas by means of the spoken and written word to impart information to clients or to the public, and to convey detailed spoken instructions to other workers accurately, loudly, or quickly.

Environmental Conditions:

The office may be a busy environment. This position may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of internal and external customers. The environment may be busy and/or noisy and the incumbent will need excellent organizational, time, and stress management skills to complete the required tasks.

Sensory Demands:

Sensory demands include use of the computer, which may cause eyestrain and occasional headaches along with hand/wrist strains from using computer keyboard and mouse.

Mental Demands:

This position will manage a number of requests, job requirements and projects concurrently. Stress may be caused by the need to complete tasks within tight deadlines.

Vision:

See in the normal visual range, with correction if needed.

Hearing:

Hear in the normal audio range, with correction if needed.

*Proficient computer skills, including working knowledge of Microsoft Excel and other Microsoft Office applications

Minimum Qualifications:

*3+ years of experience in an accounting office with high volume processing

Preferred Qualifications:
  • Associates or Bachelor's Degree in Accounting
  • Real Estate or property management experience
  • Yardi Software experience
  • Conservice Software experience
