Accounts Assistant Newpark Hotel is looking for an Accounts Assistant. The successful candidate will be somebody who can hit the ground running in this fast-paced environment and be able to assist the accounts function where needed. Main Duties: Cash audit Responsible for the daily income audit of business. This would include checking daily sales reports to cash register reports and investigating any differences. Reconciliation of sales reports to cash management system and on to the lodgements. Reconciliation of credit card sales to lodgements. Reconciliation of cash management system balance to actual cash on a regular basis. Accounts payable Daily processing of invoices once authorised on the accounts system and following up with staff for authorisation where needed. Reconciliation of creditor accounts to supplier statements on a regular basis. The ability to follow up with and answer any queries to or from suppliers. Set-up of payments due to suppliers on online banking system for further authorisation. Accounts receivable Issue invoices for all credit customers on a timely basis and issue statements on a monthly basis. Record and correctly allocate all debtor receipts. The ability to follow up on outstanding accounts with customers and ensure payments are received on a timely basis. Provide timely and accurate answers to queries from customers. Payroll Run the payroll on a weekly basis when required and ensure that the information from the time management system has been imported correctly. The ability to investigate any differences between the payroll system and the time management system. The ability to set-up new employees on the system and generally maintain the information on the payroll system. Produce the necessary weekly reports for payroll for review and authorisation of same by Management. Production and distribution of payslips in a timely manner.Set-up of weekly bank file to be uploaded to the online banking system and processing of this payment. The successful candidate would also be expected to perform general office duties both for the Accounts Manager and Financial Controller as necessary and assist others where needed. Requirements: Familiarity with the hotel industry would be beneficial but not essential. Experience with Sage 50, Micropay and Hotsoft software systems. Ability to hit the ground running in this fast-paced environment and be able to assist the small accounts function where needed. Ability to communicate effectively with all hotel staff.
