Job Summary
Deliver high quality client service both internally and externally by incorporating experience and industry knowledge in daily workflow so as to complete increasingly complex tasks on time and accurately.

Job Duties and Responsibilities:
Client Service
  • \t\tComplete all tasks including the handling of all complex calls and queries to a high quality to meet client requirements in a timely and accurate manner
  • \t\tQuality control of transactions processed and client correspondence
  • \t\tAssist in the delivery of on the job training and development of other administrators.
  • \t\tEnsure business standards and client deadlines are met on a consistent basis
  • \t\tActively initiate Error Fines & Loss analysis
  • \t\tEscalate client issues where necessary

  • \t\tAdhere to procedures in relation to all tasks
  • \t\tAdministration of Clients trades and maintenance of register processing of cash movements and reconciliation
  • \t\tIdentify process efficiencies in the course of their daily work and propose to line managers
  • \t\tDevelop and maintain a thorough knowledge of Transfer Agency processes and Systems
  • \t\tGain broad expertise on company products
  • \t\tBuild and maintain internal network of contacts
  • \t\tDisplay thorough understanding of the following tasks:-
  • \t\tIssuance of contract notes and settlement confirms
  • \t\tProcessing of monetary settlement money in/out and FX process
  • \t\tAdministration of commission payments
  • \t\tProcessing of Fund distribution
  • \t\tUnits in Issue reporting and reconciliation
  • \t\tReconciliation completion and clearance of trades and cash
  • \t\tProcessing of register maintenance requests

  • \t\tLiaise with other departments in an effective manner
  • \t\tProvide/seek regular feedback to team leader

  • \t\tAct as an effective team player & deputies for immediate supervisor when appropriate
  • \t\tShow organisation skills for oneself and others
  • \t\tDisplay effective team focus by assisting colleagues in their daily routine
  • \t\tPositively influencing team morale in order to achieve set standards and goals
  • \t\tShow willingness to assume additional tasks in order to share workload within team/department

  • \t\tAdministration of Clients/Investors correspondence

Knowledge Skills & Experience Required
  • \t\tExcellent administrative and business support skills with the ability to multi-task and to work calmly under pressure.
  • \t\tExcellent working knowledge of MS Office suite including Word Excel and PowerPoint
  • \t\tStrong written & verbal communication skills
  • \t\tExcellent organisational planning and co-ordination skills.
  • \t\tAbility to work accurately to tight deadlines
  • \t\tProactive and able to work independently and as part of a team
  • \t\tDetailed understanding of procedural technical and product requirements within Transfer Agency business
  • \t\tTypically candidate will have 2 years relevant experience within a similar environment
