Accounting Portfolio / Fund 70320 Requisition # ROLE To ensure that the client is provided with an effective service by the Department in accordance with the clients needs and the policies and procedures of the Company. Key Tasks, Purpose and Main Responsibilities For specific client groups lead and co-ordinate the client service team Critical background knowledge of entities worked on by Team Ensuring that operational arrangements are clearly established at inception of a fund and are regularly reviewed / updated Ensuring that documentation, legal and compliance issues are complete Monitoring and ensuring consistently high standards of service to the client group Addressing any problems or complaints of the client group clearly and effectively Dealing with client / NTIFAS(G)L procedural issues Client Communications a) Board Meetings To be fully briefed / familiar with the issues which are to be considered by the Board Presenting operational matters to the Board of Directors Noting the Boards comments / action points and ensuring that they are followed up. (Target is to circulate action points with 24 hours of the board meeting) Ensuring minutes are produced to a high standard. (Target is within 7 days of the board meeting) May need to participate as a Director on client companies b) Other Meetings Attendance and action as required Cash Management & Accounting To oversee the call/distribution process, including review of payments, notices and sign-off of completed file(s). To oversee the investment process, including review of legal documents, payments, client recommendation and sign-off of completed file(s). To review and post bookkeeping batches and ensure the accounting timetables are adhered to. General Authorise instructions as an A signatory of the Company Ensure the absence of staff is covered Monitor relevant NTIFAS(G)L fees and debtor control with a view to maximising recovery rates (target 100 PERCENT ) Contribute to the management of the department as a whole Carry out staff appraisals Keep the Department Manager informed of significant developments May be required to work on ad-hoc projects Compliance Has a detailed understanding of the main Guernsey legislation as it effects entities under administration i.e. Guernsey Company Law, POI and FNCC legislation Has a detailed understanding of the anti-money laundering legislation and in particular with regard to Investor KYC. Develop, train and motivate your team to achieve business objectives Lead by example and promote teamwork Ensure that your team complies with standard training procedures, and has effective training provision in place to ensure that all staff are fully trained to fulfil their current or planned role Promote the continuous development of relevant knowledge and skills through effective use of the appraisal process, interim reviews and coaching, and evaluation of the results Develop / maintain effective channels of communication at all levels Ensure that effective communication processes are used within your area, consistent with the Companys communications strategy and standards Ensure that all members of your staff understand those Company / department objectives that are relevant to them, and what they are expected to contribute towards achieving them Discuss objectives and issues of concern with your team and encourage constructive feedback Additional task Fulfil additional, relevant, tasks appropriate to the role and business requirement Job Requirements Professional Qualification / Education Level Essential Relevant Professional Qualification or qualified by experience Desirable ACCA/ICSA or equivalent Experience Essential 5 years previous administration experience and previous management experience Desirable5 years previous PE administration experience and previous PE management experience Skills Essential Strong IT skills, Management skills, Bookkeeping skills Desirable Advanced IT Skills Knowledge (e.g. Working knowledge of tax law) Essential Knowledge of Guernsey Company Law. POI and FNCC legislation and Anti-Money Laundering legislation Desirable Knowledge of the administration of PE funds to include structures and the regulatory requirement Other Essential Good leadership skills.
