Finance and Office Manager

Part time Monday to Friday - 20 or 25 hours per week

We are currently recruiting for a Part-time Finance and Office Manager for their growing team in Kemble.

Finance duties

  • Bank reconciliation
  • Day to day book-keeping including preparing sales invoices, processing purchase invoices and creating journal entries for revenue recognition
  • Credit control weekly
  • Preparing weekly supplier payments
  • Monthly reconciliation of sales v costs to Line Manager records
  • Processing monthly Company credit card/cash expenses
  • Support the Sales Manager with forecasting figures
  • Assist the Finance Director in reviewing monthly income v expenditure in preparation for Finance meetings
  • Production & submission of Quarterly VAT return to HMRC
  • Maintain Fixed Asset Register and depreciation/disposals
  • Review mobile and landline telephone contracts
  • Review annual office/car insurances and utility contracts as required
  • Process account applications and take up references

Office Manager duties

  • Responsible for office presentation: ensure office is tidy, oversee cleaner service levels and rubbish/recycling removal
  • Responsible for all office housekeeping purchases including refreshments for staff and visitors
  • Catering organisation for internal events when necessary order and collect refreshments for team meetings and make sure everything is cleared away afterwards
  • Liaising with London office staff to ensure consistency of presentation and facilities
  • Managing office security, keys etc.
  • Managing fire assessment, equipment and evacuation procedure, PAT testing requirements and other legal requirements for London and Kemble offices
  • Prepare, manage and review Health and Safety policies and procedures for Kemble and London office
  • Social co-ordinator for both offices working alongside the Social Committee, organising and booking staff events and travel i.e. Christmas parties
  • Monitoring of staff birthdays gift purchases, leaving presents etc.


  • Supporting the Finance Director as needed
  • Any other duties as they arise that relate to Finance and the upkeep and maintenance of our offices

Key Skills:

  • Minimum AAT qualified
  • Proficient user of Quickbooks online software
  • Previous financial experience
  • Respect the importance of discretion and confidentiality
  • Excellent communication skills
  • Confident using Excel spreadsheets
  • Ability to work under pressure and a commitment to meet tight deadlines
  • Ability to work as part of a team
