The key responsibilities of the role include:

Supporting a Senior Executive with:

• The management of their diaries (scheduling and maintaining appointments and meetings)

• Seamless coordination of meetings, including timely distribution of invitations, agendas and documentation;

• Receiving and opening mail and meeting and greeting visitors;

• Making travel arrangements and preparing travel itineraries;

• Processing travel expense reimbursements;

• Preparing spreadsheets, presentations and organisation charts as required;

• Assisting with projects;

• Maintaining a filing system;

• Maintaining a good knowledge of the EMEA Compliance team and a basic knowledge of the business unit and wider organisation;

• Ordering stationery for the department;

• Processing IDM and IT Service Requests for new joiners;

• Arranging seating and security access for visitors from other offices;

• Printing and binding any presentations / documents;

• Filing, scanning and printing confidential documents;

• Arranging couriers as required;

• Provide backup holiday cover for other admin assistants in the team

In addition; responsibilities will include:

• Support to the wider compliance team with the following

• Arrangements of meetings;

• Coordinating travel plans;

• Adhoc administrative duties

The successful candidate will benefit from having:

• Experience in providing senior administrative support in financial services or a similar industry;

• Ability to communicate at senior level;

• Ability to make sound judgements and independent decisions regarding planning, organizing and scheduling of work on a day to day basis with minimal instruction;

• Proficiency in Microsoft Powerpoint, Work, Excel (intermediate) and Visio;

• Excellent written and verbal communication skills;

• Attention to detail;

• Ability to multi-task

• Proactive approach;

• Ability to maintain confidentiality
