Our strategy What we do : Specialist services: Audit, Finance, Tax, Risk & Regulatory, Advisory and Outsourcing Niche markets : Financial Services, International Trade and Government How we do it : Designing Business & Compliance Solutions What you will be doing: As the Firm's Human Resource Administrator, you will be part of a team that understands our brand, vision, strategy and how we differentiate. As a member of this team, you will work directly with the HR Generalist and HR Manager to roll out the HR workload across the Firm and liaising with external stakeholders, such as candidates, colleges, professional bodies and recruitment agencies. In addition, the successful candidate will report to the Head of Risk & Quality to administer the delivery of learning and development interventions across the Firm. In doing so, you will play an important role in developing “ how we do it ” as a competitive edge for our Firm. Your role will focus on three main sub-areas of Human Resources function: 1 - Recruitment support: Supporting the roll out of the Recruitment Strategy of the Firm and executing the end to end HR administration side of the recruitment life cycle. This includes: Supporting the development of job descriptions; Advertising of vacancies in all our channels (e.g. Firm's website, Irish Jobs, LinkedIn, professional bodies, colleges, updating the social media channels, etc.). Assisting in screening applications and issuing correspondence to candidates; Conducting visa and work permit assessments; Scheduling phone and face-to-face interviews; Generating job offer correspondence, requesting relevant documentation and drafting and issuing contracts of employment to new starters; Conducting reference checking and any other recruitment correspondence; Assisting the HR Team in the planning and executing of the intern and graduate career fairs around the country; and Liaising with career development services in colleges and other educational and professional bodies 2 - Talent Management & HR generalist support: Supporting onboarding programme (e.g. liaising with Facilities area to ensure all new joiners are set up on systems and also communicate Firm's policy and procedures) Producing correspondence for staff members of the Firm, such as employment reference, salary reviews, promotions; etc. Organising the performance appraisal process. (i.e. ensuring that the HR Team have received all documentation and record accordingly); Maintaining, recording and monitoring all leave taken by staff and liaising with the Internal Finance team to ensure it is reflected in monthly payroll processing; Maintaining and updating employee personnel files and any other records, such as study exams status, study leave, etc. Liaising with relevant professional bodies regarding trainee enrolment, training contract and exam registration; Coordinating exams booking and liaising with Internal Finance area in relation to exams fee processing for trainees and non-trainees of the Firm. Monitoring probation periods; end date contracts of employment, salary reviews and follow up with management the next steps to be taken; Being one of the points of contact for staff members and management on day to day HR queries; Assisting in the development and improvement of existing HR policies, procedures and strategic activities Ensuring that the Firm's Organisation Chart is professionally and accurately updated; Recording and compiling stay and exit interviews data to be used to HR initiatives; Supporting HR projects and initiatives as required to implement the HR Strategy of the Firm and all other ad hoc Human Resource matters. 3 - Learning & Development support: Supporting the HR & Risk and Quality Teams in the facilitation of monthly training seminars, full day internal departmental technical training sessions, and bi-annual 2 day off-site residential training programmes; Assisting the administrative side of the onboarding and presentation skills training for all new joiners covering EisnerAmper Ireland's National Standards Authority of Ireland certified ISO 9001:2015 policies and procedures; Supporting the logistical and administrative preparation of the training; Supporting all required arrangements for internal and external training e.g. booking venue, preparing courses, liaising with providers, post-training review (when required) Ensuring continuous improvement of learning capabilities, methodologies, processes and tools to ensure highest operational quality, efficiency and effectiveness Education & Professional Qualification Masters/Degree/Diploma in Business; Human Resources (or related discipline). CIPD, IITD Qualification or equivalent (desirable). Experience required 2-3 years' experience in HR administration role or similar (preferably within professional services). Skills & attributes Maintaining independence, possess the highest degree of integrity, discretion and confidentiality Excellent attention to details and continuous improvement mindset Excellent interpersonal and communication skills (be confident in both spoken and written communication) Flexibility - be able to adapt to varying and changing demands IT proficiency - Excellence experience in working with MS Office Applications (e.g. Outlook, Excel, Word and PowerPoint). Desirable knowledge of collaboration software, such as Huddle.
