Exciting opportunity for a Financial Services Administrator to join a well established company based in Taunton.

Main duties include:

Setting up client records on Intelligent Office (IO)

Creating Electronic Client Files by extracting information from Personal Financial Planning Questionnaires, entering all data correctly onto IO the company client database and ensuring it is linked to the correct source (for reporting purposes).

Assigning a client code to each record.

Processing Letters of Authority (LOA)

Identify which product information needs to be requested from providers.

Prepare Letters of Authority and issue to relevant providers.

File all relevant documents in the electronic filing system.

Create paper files where necessary.

Input specific plan information onto IO and establish a task history.

Communicate with providers to ensure receipt of all information requested.

Record all communication in the associated client product task to provide a status update.

Check the information received is as requested before completing the task.

Liaise with the financial advisers via email or telephone with regards to the progress and completion of the process.

Input plans information onto IO and complete tasks accordingly.

Processing New Business

Check applications match illustration and the adviser’s new business checklist.

Set up client record, as detailed above, entering plan information and fee expectation.

Liaise with advisers with regards to applications.

Prepare new business enclosure memo and issue the application and associated paperwork to the providers, and/or

Process the new applications online directly with the provider.

Electronically save the new business pack.

Establish an Event List on IO and track the new business to completion.

Record all communication in the associated client product task to provide a status update.

Check that acceptance letters and policy documents accord with the application.

Issue policy documents to the client.

Electronically save all correspondence received in and sent out

Existing Customer Service

Process fund switches and sale of assets online directly with the provider, ensuing associated records are kept on IO and electronically.

Liaise with providers and advisers with regards to any requests they have made to obtain documentation or information.

Management and issue of Review Letters.

Updating IO in relation to changes to client or policy records.

Valuations

Prepare valuations as requested by the advisers by obtaining electronic policy values via IO and manual values from the providers. To liaise with the providers to ensure all data is correctly entered in IO and produce valuation reports.

Customer Services External and Internal

Provide a high level of professionalism i.e. courteous and efficient, in all dealings with clients, financial advisers and colleagues.

To liaise with the Administration Supervisor/Office Supervisor regarding issues which may prevent normal business processes and efficiency of the role.

Electronic Filing

Scan and index all incoming post into Virtual Cabinet and liaison with the designated advisers where appropriate.

Scan and index all documentation generated in relation to clients into VC.

Call Handling

Answering incoming telephone calls in line with the Call Work Group.
