Want to join a dynamic, elite information security environment? We currently have an exciting opportunity within Global Information Security as an Executive Assistant. Your role will be to provide comprehensive administrative support to the Regional Information Security leadership within GIS across EMEA. Daily, you will work closely with the regional GIS COO to coordinate GIS requirements and receive tasking as appropriate.

GIS employs a robust policy structure, supported by clear and interconnected documentation, which enables organisations throughout Bank of America Merrill Lynch to embrace and apply security controls to information assets in a flexible, consistent and risk-based manner.

As an Executive Assistant what will your main responsibilities involve?
  • Providing all round support, involving answering phone calls, diary management, arranging internal and external meetings
  • Arranging team meetings and department Town Halls
  • Preparing meeting agendas, coordinating meeting participants (internal and external including auditors/regulators), and managing meeting reminders as needed. Follow up with meeting minutes where appropriate
  • Making all necessary arrangements for business travel, including visas and scheduling meetings
  • Establishing professional and effective communication at all levels
  • Handling sensitive and confidential materials
  • Organising itineraries for overseas visitors
  • Additional ad hoc administrative duties, which may include handling projects involving gathering data for reports and presentation, maintaining / updating organisational charts, correspondences, back-up support for other administrative assistant or business support in the department

As an Executive Assistant what skills and qualifications will you ideally possess?
Skills:
  • Extensive experience required of providing support at a one-to-one Senior Level (within the Banking industry is helpful)
  • Has excellent communication and organisation skills
  • Dedication of quality standards with intelligence and creativity
  • Can-do style and ability to handle multiple tasks, to pre-empt and lead multiple and changing priorities
  • Ability to work independently and as a teammate
  • Solid MS Office: Word, PowerPoint, Outlook, Excel
  • Information gathering and information monitoring skills
  • Be able to problem solve and use own initiative
  • Able to confidently collaborate with senior partners (internal/external)
  • Shows very keen attention to detail
