Finance Assistant X2

Role Purpose

Reporting to the Management Accountant/Finance Manager, the role will support the production of the month end management accounts, from initial journals through to variance analysis, and discussion with budget managers on exceptional items. The role also supports the re-forecast and the annual budget process. The role follows a strict timetable which requires a methodical and organised approach to completing tasks.

Responsibilities

  • Support the month end requirements, ensuring all month end tasks are carried out accurately and adhere to strict deadlines, while in accordance with the financial constraints and cost plan(s) associated with the work
  • Support the finance team to aid journal posting.
  • Support month end, Budget & Forecast reporting, including preparation of reports, identification of key variances and reviews with operational managers.
  • Provide support and guidance to operational managers with regard to all financial aspects.
  • Support the finance team in the preparation of regular forecasts and budgets, including supporting operational managers to review, complete and understand their forecasts and budgets.
  • Ensure accuracy of the General Ledger codes are adhered to.
  • Support contract support team to ensure all supplier invoices are validated and process in accordance with guidance.
  • Support teams to complete supply chain statement reconciliation, and ensure ageing invoices are addressed and resolved, including highlighting areas of improvement.
  • Liaison with accounts payable to ensure all authorised invoices for contract are processed to ensure processing of payments.
  • Support client invoicing, including ensuring all backup is complete & accurate. Referal to Operational leads with regards to any queries. Aid the reduction in aged debt by developing relationships directly with Operational Staff and clients following on from outstanding queries.
  • Support preparation of internal and external reporting.
  • Monitor and understand Work In Progress (WIP), with keeping WIP for the contract at a minimum at all times.
  • Ad-hoc duties as requested by Finance and Commercial Management.

What we are looking for

  • Engaging communicator demonstrating influencing skills and an ability to adapt approaches to differing audiences.
  • Finance Experience and be working towards a professional accountancy qualification, such as AAT, CIMA, ACCA or ICAEW.
  • Previous experience working in similar finance/commercial environment.
  • Demonstrate a proactive approach to delivering excellent customer service to stakeholders.
  • Proficient IT skills including MS Word, MS Excel and MS PowerPoint, and comfortable with numerical reasoning.
  • Well organised, with the ability to multi-task, prioritise and manage competing demands.
  • Strong multi-tasking capability, project and deadline oriented.
  • Excellent attention to detail and accuracy.
  • Maintains effective work behaviour in the face of setbacks or pressure - remains calm and in control of themselves.
  • Facilities management experience would be desirable.
  • Experience with working on CAFM systems, such as Maximo would be desirable.
