JOB DESCRIPTION ROLE: Finance Assistant DEPARTMENT: Business Support REPORTS TO: Finance Manager CONTRACT: Permanent Post HOURS OF WORK: 39 per week SALARY: £23,000 - £25,000 Main purpose of job The Finance Assistant is a key role within the finance team, responsible for accurately maintaining all financial records for the Belfast Waterfront and Ulster Hall Limited. This will including processing financial transactions, managing cash, settling events and producing financial reports. To maintain the sales ledger; including raising sales invoices and inputting sales invoices onto the Finance System. To maintain the purchase ledger; including matching to Purchase Orders, coding, ensuring invoices are authorised, inputting of invoices onto the Finance System. Credit control and monthly debtor ledger reconciliation. To reconcile supplier statements. To issue and reconcile Petty Cash and Box Office Change Float. To generate payments using online banking and monthly creditors' ledger reconciliations. To prepare appropriate financial reports and returns; to include FEU and PRS To prepare and post weekly/monthly nominal ledger journals. To complete all entertainment settlements in line with contract terms. To complete cash counting and reconciliation of box office takings at both venues To assist in ongoing development, training and support as a key user of the Company's venue event management system [VEMS]. To update financial procedures, specifically regarding Purchase/ Sales ledger invoice processing To assist with any other ad hoc duties as required by the Finance Manager. Person Specification: Essential criteria Qualifications and experience Applicants must : Either be a fully qualified accounting technician through the Association of Accounting Technicians (AAT), or the Institute of Accounting Technicians in Ireland (IATI) or have a qualification recognised to be of similar standard to AAT/IATI. Or have 5 years' experience in a financial role if you do not hold the relevant qualification. have a minimum of five GCSEs (Grades A-C) including English and Maths or equivalent qualifications; and have two years' relevant experience of operating a sales and purchase ledger using a computerised financial system. This experience must include two of the following three areas: recording, monitoring and reporting income and expenditure; reconciling accounting transactions, for example bank accounts; at least two years' experience in a computerised accounting environment; Short-listing criteria In addition, the short-listing panel reserves the right to shortlist only those candidates who: in the first instance, have at least two years' relevant experience in each of the areas (under 1. to 3. above) Special Skills & Attributes: Applicants must demonstrate the following competencies which may be tested as part of the interview process: Communication skills : the ability to communicate effectively, orally and in writing, to colleagues and customers and to provide operational information and financial advice to staff and managers. Technical knowledge : an understanding of commercial finance, the requirements of financial legislation and regulation, financial control and accounting systems and the ability to advise on financial matters to operational managers. Organisational skills : the ability to effectively plan and prioritise workload and manage time effectively to minimise peaks and troughs of work. Customer care skills : an understanding of the principles of customer care and the ability to deal appropriately with a range of customers. Analysis and decision making skills : the ability to extract, analyse and report upon service information and to advise on operational financial issues. Team working skills : the ability to work as an effective team member and to encourage co-operation and working together to achievement objectives. Information technology skills : the ability to operate specialist software packages and an understanding as to how computer systems and new technologies can increase business efficiency.
