Role Reporting to the Head of the Tax Documentation Team, the role is for a Tax Documentation steward. The successful candidate will have responsibility for the management of the physical documentation (c.50,000 documents expected in 2018) of Northern Trust's global client base and the day to day activities of the Administrative team (currently 3 persons). The objective of the role is to ensure that the documentation is securely maintained and managed on an ongoing basis including the appropriate archiving of same. This will involve ensuring the current procedures are implemented fully at all times, actively identifying improvements in these procedures and working with team and management to implement any improvements in same. The successful candidate will play a significant role in the improvement and development of the service IITG delivers to clients. They will also be a key driver for identifying process improvements/efficiencies and bringing them to management attention. Responsibilities Building out best practice for the maintenance, updating and safekeeping of clients' original documentation. Developing best practice for the secure and efficient archiving of clients' original documentation. Analyse processes to identify areas for automation or improved workflow. Work closely with IITG management, in particular the Tax Documentation Manager, in identifying, remedying and implementing any issues or process improvements. Oversee the processing and recording of the large volumes of documentation received by IITG Limerick on a daily basis. Qualifications/Experience The ideal candidate will have:- Experience within an International Tax Documentation process would be a distinct advantage for the individual applying for this role. Having dealt with the different types of documentation and their impact would allow the applicant to better understand the documentation requirements. However, this is not an essential requirement of the role. Experience in managing the documentation requirements of a medium to large office including responsibility for the safekeeping and access of documents. Knowledge of best practice in the management, retention and storage of documentation would be of particular interest. Experience in overseeing the day to day work of a small administrative or any other team of people. Knowledge/Skills The ideal candidate will have a very analytical approach and the ability to work with large volumes to tight timelines. A track record in identifying and delivering process improvements. As the role is seen as a key element of the future direction of IITG, a dedicated, driven individual that can manage the day to day work of a small team and at the same time work on their own to identify and develop the processes and procedures required. Experiencing in archiving via Iron Mountain's systems would be a distinct advantage.
