Responsibilities:
Accounting tasks:
- Organisation of invoices and review prior to approval
- Recording of expenditure upon approval
- Preparation of cheques and transfer instructions for signature
- Management and monitoring of online payments, direct debits and standing orders
- Reporting of payments made by category with supporting documentation
- Reconciliation of bank statements and maintaining digital records
- Oversight of petty cash levels and records, and review of staff expense claims
- Coordination with ‘Outsourced HR' on staff payroll matters
- Maintain relationship with external accountants to include:
- Provision of financial information and checking draft monthly reports of income and assets
- Provision of information for annual financial reports and tax returns
- Ad-hoc PA duties including but not limited to: Correspondence, bookings, maintaining key spreadsheets, drafting memos
Charitable Foundation administration:
- Record keeping and monthly reconciliation of the Foundation's bank account
- Monitoring of HMRC Gift Aid payments
- Preparation of management information for Trustees
- Main point of contact and preparation for the annual audit
- Assist with financial charity due diligence
- Assist with Foundation correspondence where required
Person Specification:
- A quiet, trustworthy individual to work in a small, friendly office for a wealthy family
- Accounts background required
- Unquestionable discretion
- Calm and confident disposition
- Able and comfortable working within a close team
- An ability to form good internal and external working relationships
- Excellent organisational skills with ability to prioritise
- Intuitive and flexible approach to problem solving
