Position Purpose
We are seeking a flexible and proactive Executive Assistant to join our team on a contract basis. Initially part-time, this role has the potential to evolve into a larger time commitment or permanent position as responsibilities are defined.
This fully remote role offers flexible hours, ideal for someone who is highly organised, self-motivated, and capable of working independently. There is potential for transitioning to a hybrid office setup in Jaipur based on business needs, providing opportunities for growth within the company.

Key Tasks and Responsibilities
- Executive Support: Manage executive calendars, coordinate meetings across time zones, prepare agendas, and oversee post-meeting follow-ups. Handle confidential correspondence with discretion.
- Administrative and Operational Support: Maintain digital filing systems, ensure compliance with retention policies, and support onboarding for new team members by setting up accounts and resources. Review staff timesheets and generate compliance reports.
- Client Data and Document Management: Update CRMs and accounting software and organise shared drives and cloud storage to ensure filing systems are current and compliant with retention policies.
- Standard Operating Procedure (SOP) Development: Create and update SOPs for repeatable tasks to improve efficiency and standardise workflows.
- HR and Team Coordination: Assist with HR tasks, such as application processing, interview scheduling and monitoring attendance records.
- Practice and Compliance Management: Update practice management software with new tasks, deadlines, and client details. Track compliance deadlines (e.g., GST filings) and generate performance and capacity reports.
- Other Responsibilities: Handle data entry, and other clerical tasks as needed.
Qualifications, Required Skills and Experience
- Education: A degree in business administration or a related field is preferred, but relevant experience will be considered in place of formal education.
- Experience: 2+ years of experience in executive or administrative support roles, preferably in a remote or hybrid work environment.
- Technical Proficiency: Strong proficiency in office tools such as Microsoft Office Suite, Google Workspace, Dropbox. Experience with CRM systems and cloud-based file management platforms (e.g., Dropbox, Google Drive)
- Skills and Competencies: Exceptional organisational and time-management skills, with the ability to juggle multiple priorities. Strong written and verbal communication skills for effective collaboration. High attention to detail, especially when managing data and reports. Familiarity with basic accounting or financial processes is a plus (e.g., reconciling reports, managing billing systems).
- Location Preference: Candidates based in or near Jaipur, or open to relocation if the role transitions to a hybrid office setup will be given preference.
