Who we are looking for
Under supervision of Senior Depositary Managers, the Depositary Operations Specialist will engage in various projects, special analysis and initiatives related to technical aspects of the business.
Acts as a process SME and Process Flow Manager and provides highly specialized technical support to Depositary Team Managers and Depo teams to ensure all deliverables are produced and dispatched on time in accordance with client service level agreements and agreed quality standards.
This role can be performed in a hybrid model, where you can balance work from home and office to match your needs and role requirements.

What you will be responsible for
As Depositary Operations Specialist you will
- As a Process Flow Manager, actively review and prepare Italy Depositary– other banking activities – tasks and high complexity assignments (Cash and Security Monitoring, NAV Oversight, Safekeeping) within AIFMD / UCITS Investment Funds scope (Private Equity, Real Estate, Hedge, Mutual and Pension Funds etc.)
- Liaise with partners and clients (internal & external) and support the involved departments with the purpose of obtaining key inputs to service delivery, resolving errors and discrepancies.
- Be entitled to coordinate the staff from the operational point of view, assist Team Managers in the organization of the Team and in ensuring that departmental procedures and controls are adhered to.
- Identifie issues and problems in service delivery and carrie out necessary corrective action. Ensure the Issues log is updated, tracks progress and shares details with the team members
- Support the Team Manager to ensure that accurate KPI are created, updated and disseminated to the Donor site on a regular Service Review Meetings
- Provide technical support to Depositary team members also with the aim to improve and increase the competency throughout the staff;
- Take responsibility of analysis and planning of Depositary Functional Operating Model within ITALY DEPO scope with the aim of standardizing processes and establishing best practices throughout the whole Business Unit/Department.
- Take a leading role in the review of corporate documentation of processes, procedures and controls across client groups.
- Evaluate together with the team manager their continuing effectiveness and accuracy. Initiate remedial action as necessary. Ensure documentation exists for any client-specific procedures.
- Participate as technical SME in the development, testing and implementation of new systems and products relating to the ongoing business transformation process.
- Provide regular progress reports and give feedback during dedicated meetings.
- Act as central point of contact for technical issues encountered in the daily business. Track issue trends and escalates as needed.
- Contributes to “open surgery” sessions for technical issue resolution.
- Provide technical and planning support for new business and transitions to Poland. Cooperates to ensure proper governance and controls are in place. Perform post-transition analysis to identify process gaps.
- Assure timely and professional responses to all enquiries.
- Keep Team Managers informed as to the daily work progress and status of requests.
- Keep managers updated with regard to project progress.
- Establishe and maintains good working relationships with internal clients and colleagues. Demonstrate collaboration with other teams and departments.
- Demonstrate flexibility by supporting different Depositary teams as well as contributing to a range of projects.
- Adheres to clean desk policy and thorough record keeping.
- Assures timely and professional responses to all enquiries.
- Keep Team Managers informed as to the daily work progress and status of requests.
- Keep managers updated with regard to project progress.
- Establishe and maintains good working relationships with internal clients and colleagues. Demonstrate collaboration with other teams and departments.

Education & Preferred Qualifications
- 2+ years’ experience in Depositary/ Fund administration/ Project management/ IT
- Accountancy or Business related degree (preferred)
