We are currently looking for a Payroll Compliance & Data Analyst on a full time, 1 year fixed term contract to join our Global Payroll Team. We are flexible in the location of this role.

The Job

The Payroll Compliance & Data Analyst is a technical expert, responsible for bringing global compliance, process, data, insights and reporting together to support the team in delivering a complex global payroll service and to support in protecting the organisation from legal, financial and reputational risks. Working with the wider team they set the guiderails on compliance ensuring regular audits and checks are carried out and reported on. Ensuring the right operating processes are in place and embedded in the team. Providing key data, insights and guidance across the governance framework to enable informed decision making, promote transparency and accountability with our stakeholders, building trust and improved collaboration. They will oversee the repository of our data and create the operating standards, including what data we store, how we store it and who we share it with. Reporting on payroll performance through internal audits, working to a purposefully designed compliance framework, so we are clear on changes, impacts and issues and have defined improvement measures. This is an integral individual contributor role that sits within the Payroll Team.

Reporting to the Global Payroll Manager the Payroll Compliance & Data Analyst will be responsible for:

  • Payroll Compliance & Risk - Horizon scanning to identifying new areas of risk, providing mitigations and full compliance solutions. Creating the global payroll compliance framework and embedding this across the team and our stakeholder groups. Gathering documentation and evidence to provide to Leadership and our stakeholders on an agreed basis to show how compliant we are across all counties, what issues we might have had, what actions we have taken to resolve and what mitigating actions are in place for future compliance. Contributing to the creation and implementation of payroll policy. Acting as a key support for the Head of People Systems, Payroll & Data who is the owner of Payroll Risk.
  • Compliance Networking - Build partnerships with external groups to gain insights and advice where necessary and to keep up to date with global changes. Acting as a compliance subject matter expert to provide internal advice, guidance and training.
  • Payroll Internal & External Audits - Responsible for planning and running regular internal payroll audits. Reviewing multiple data to capture how we are performing against our objectives. Supporting with data for our external audits.
  • Implementing Data Security Controls - Taking the lead for implementing best practices, ensuring the confidentiality, integrity, and availability of sensitive personal employee data. Staying updated on regulatory requirements and compliance standards related to Workday. Providing guidance to the payroll team.
  • Data - Ensuring we are clear on what data we have access to across all our systems and are using available data to our full potential and to improve and simplify process.
  • Payroll Data Controls - Taking the lead in the creation, development and maintenance of the payroll data that is needed to assess compliance across the process. Setting up folder structures and standard naming conventions. Drafting the guidance on what data we save, and how and who we share our data with.
  • Analysis and Insights - Responsible for providing analysis - especially identifying the likelihood and potential impact of identified risks on the organisation - and understand on data trends. Working with the wider People Team to provide statistical information - particularly on reward data - when needed. Using data and insights for problem solving and to track and drive process improvements across how payroll operates, how we provide a robust, compliant service for the organisation, defining the risks assessing them to help inform decision making.
  • Knowledge Base - Creating and maintaining a central knowledge database that will support the payroll team in their role. A library of information, allowing quick access to a variety of data including, in country compliance standards, global payroll and employment regulations and best practices, links to internal processes and policies.
  • Reporting - Understanding the reporting needs of the team and our stakeholders. Providing all MI reports to share data that can be simply reviewed and understood including forecasting payroll data for key stakeholders to help influence business decisions and growth plans. Supporting the Payroll Leadership Team with reports including monthly invoice data.
  • Payroll Business Continuity Planning - Taking the lead on reviewing the Business Impact Assessment (BIA) and Business Continuity Plan (BCP) on a quarterly basis, identifying and implementing measures to strengthen the BCP to ensure we can continue to operate a payroll service following any threat or disruption. Carry out checks to ensure there is an awareness/understanding and confidence of using the BCP across the payroll and wider People teams.

  • Strong organisational skills with the ability to create opportunities and support the team to be more efficient in how we are organised.
  • Great communication and strong relationship building skills, listening in order to understand your audience, their needs and managing expectations.
  • A creative problem solver, able to calmly react to issues and use natural curiosity to logically work them through to resolution.
  • Proactive skills, taking responsibility and initiative for getting the job done
