Role Summary:
Under our Target Operating Model (TOM), we emphasise the critical role of Contract Support in every client contract, where this personnel will manage the Administration and Financial aspects of the assigned client contract. Other than executing the administrative and financial tasks, the individual need to show eagerness to learn and understand the business, contract and operations, while demonstrating strong communication and providing exceptional service to both internal and external stakeholders.
Job Description:
Finance
- Request for vendor quotations, raise purchase requests, review open purchase orders and perform goods receipting.
- Compute and submit client billings, monitor debt aging and follow up on collection. Perform accrual for revenue and cost during month end close based on actual services delivered.
- Review profitability of base contract, extra works and projects under the client contract. Support Contract Manager and Finance Manager in projecting financials of the client contract.
Quality
- Support facility management service planning and delivery while coordinating responses to client day-to-day inquiries and feedback.
- Ensure work orders are lodged, monitored and analysed in the relevant system in order to address client requests and feedback timely.
- Understand contract terms and conditions (including scope of work, pricing and rates, billing requirements and etc.).
- Ensure CBRE internal processes and contract terms and conditions are followed closely without any exception to protect company interest.
Systems
- Onboard new vendors to the supplier and procurement-to-pay system.
- Support Contract Manager in preparing and conducting monthly contract review to health check the operations and financials of the client contract.
- Master work order system, vendor system, procurement system and financial processes.
People
- To support Contract Manager in managing the facility management team, including tracking labour movements, allocations and leaves planning.
- To demonstrate good interpersonal skills to communicate effectively and build relationship with different stakeholders, including facility management team and client personnels.
Requirements:
- No prior experience is required.
- Be based at client site at Bulim.
- A fast and independent learner with good common sense and problem-solving.
- Able to learn and master simple accounting and operations software and systems.
- A process-oriented and well-organised person who can handle high volume of information.
- Able to deal well with diverse stakeholders from different background, functions and ranks within and outside of organisation.
