POSITON NAME: Payroll Accounting Manager
Job Purpose:
- Responsible for performing coordination and execution of all professional tasks pertaining to payroll and accounting administration as per relevant policies, procedures, statutory and legal requirements, acting as the liaison between client employees, Departments and any other approved service providers, including consulting with staff and line managers, and other internal stakeholders to ensure resolution and conclusion of all matters pertaining to payroll and accounting administration.
Duties:
1. Supervision
- Double checks by reviewing overall pay runs to Crew payroll administrators
All clients, their subsidiaries and/ or associates from all payroll administrators
2. Personnel Administration
- Ensures correct handling/accounting of all sick/annual/compassionate leave forms for all clients.
- Responsible for running and distribution PAYE certificates and WCA data on a yearly basis to clients
- Gathers accurate information on allocated payrolls and other administrators.
3. 3. Salary Administration3.1 Preparation:
- Compiles payroll (attendance) register.
- Ensures correct handling/accounting of all sick/annual/compassionate/unpaid leaves for all Namibian crew.
- Captures all leave types on client software and update excel leave spreadsheets
- Reconciles all crew list supplied by companies to the actual information for payment purposes.
- Captures data on VIP system (All salary changes)
- Prints of pay slips and distributes them accordingly.
- Processes journals
- Ensures accurate calculation of fry days.
- Processes Bonus provisions and Wages Increases
Updates all payroll systems and process and ensures their adherence to clients. - Handles salary queries of crew when needed/necessary with Employee Relations Coordinator
3.2 Payments
- Responsible for external payments such as Garnishees, Maintenance, Home loans, Union fees, Pension, Social Security, etc.
- Calculating and Payment of WCA on a yearly basis.
- Administrate pension and pay out all related payments on termination of employment of client's employees as required.
- Administer pay-outs of claims and claim back from relevant parties (funeral, medical and pension fund administrators)
- Preparations of all EFT payments to client employees bank account.

4. Reporting

- Assists with providing data for compiling client statistic report for MRMF
- Attends to related queries from Auditors and assisting them with information
- Assists to provide salary related queries to the HR Managers of clients
- Prints out payroll audit trial reports
- Provides annual AA statistical report
5. Customer Service:5.1 Communication
- Has daily contact with all payroll administrators and designated personnel in human resources department on technical issues, helps with work related issues etc.
- As well as institutions of medical Aid, Pension fund, Receiver of revenue, Social Security etc. and all other institutions related to salary issues
6. Problem Solving
- Ensures completeness and accuracy of information received from Clients through the Payroll Administrators & Human resources Office and timeously hand over salaries to the clients for them to effect payments.
- Assists the Management and Cost Accountant / Senior Accountant in the reconciliation of this information during the preparation of the monthly management accounts.

Minimum requirements
- Accounting Degree with 3 years of experience or
- Articles alternatively, Business Administration degree with an accounting qualification.
- Valid driving license with own vehicle
