Job Summary:
The People Services Assistant will be overseeing all aspects for the lunch and breakfast programme and the administration Bank's Corporate Cellular Plan and Corporate Business Cards to ensure compliance with the Bank's policies and procedures. He/She will act as the primary liaison for team members' business travel arrangements and will be responsible for the maintenance of the company's HRIS and Unit and Department's records and retention systems.
Key Responsibilities:
Lunch and Breakfast Programme:
* Manage the lunch and breakfast ordering system.
* Respond to request, enquires and complaints from team members and caterers.
* Ensure that payments to both team member and caterer are accurate.
* Enroll and roster caterers on the programme as and when necessary, ensuring that all Hygienic and Food Safety standards are followed by the caterers.
* Makes recommendations/proposals/improvements to the programme as deemed necessary.
Finance Administration:
* Ensure the accuracy of departmental invoices before forwarding to the Finance Department for payment.
* Compile relevant supporting documents relating to the processing and payment of supplier invoices, ensuring compliance with the Procurement policy.
* Acts as the liaison between the suppliers and Finance Department for payment, reconciliations, queries/complaints.
Corporate Cards Administration:
* Monitor and manage the Bank's portfolio of clients where administration is required as Trustee, Registrar or Paying Agent.
* Ensure Transfer requests are met in a timely manner.
* Ensure Coupon payments are affected in a timely and accurate manner.
* Diaries and ensure associated fees are promptly taken on the due date.
Records and Retention
* Responsible for development and maintenance of systems to support the efficient access, movement, cataloging, updating, storage, retention and disposal of the processing, storing, retrieving and hard copies, digital records and information for the CHD Services Unit
* Acts as the department's records/files custodian.
* Responsible for the maintenance of the filling room or digital database.
HRIS
* Provide training and support to team members on Base and Leave Modules related issues.
* Assist with any activity for the HRIS on-going maintenance.
* Perform monthly and ad hoc audits on the database to ensure accuracy, reliability and integrity of the data.
* Generates reports (leave usage, Team member data, etc.) as required by management.
* Advise team members on any system changes or policies.
* Responsible for updating the HRIS database with team member related information accurately and timely.
Corporate Cellular Plan
* Administers the process for the addition and deletion of team members on the plan.
* Responsible for the timely payment of the plan's monthly billing
* Liaise closely with the IT department to resolve all queries, requests, and complaints from team members as it pertains to the plan.
Team Member Business Travel Management
* Liaise with the Administration department to ensure hotel accommodations and transportation are booked for traveling Team members.
* Prepare per diem ensuring compliance to the Overseas Travel Policy
* Acts as the primary liaison and communicator to and between team members and relevant parties.
Other Duties
* Stationery & Equipment Management
* Managing department mail
* Preparation of employment verification letters & verifying employment
* Performs other related duties as assigned.
Qualifications (Education & Certification)
* Associated Degree in Human Resources management/Business Management or related field
* Certificate in Basic Accounting
Experience:
* A minimum of Three (3) years in Human Resources Management or HR Administration role
* Working experience in Human Resources Information Systems (HRIS)
* Proficient with Microsoft Office, particularly using spreadsheets (excel)
Other (Skills):
* Excellent interpersonal skills
* Working knowledge of Human Resources principles, practices, and procedures
* Strong attention to detail and accuracy
* Excellent verbal and written communication skills including the ability to communicate with all levels within the organization.
* Time management skills with a proven ability to meet deadlines.
* Ability to handle sensitive and confidential information.
* Ability to prioritize and multi-task in a high paced and at times stressful environment.
* Ability to work with minimal supervision.
* Willing to work as part of a team or independently.
