Job purpose

Accountable for all tasks and activities of the VAT compliance team, ensuring that our clients are provided with an efficient, professional and high-quality service. Acts as a reviewer and point of escalation for all tax compliance duties for clients within their span of control.

The Senior VAT Compliance Manager owns workforce planning for their team creating a positive working environment with high levels of motivation and engagement. He/ She is accountable for leading the team towards adherence to all Service Level Agreements (SLAs) and applicable Key Performance Indicators (KPIs), inclusive of all mandatory local legislation compliance requirements.

Duties and responsibilities

  • Supports the VAT Compliance Director in the delivery and billing of all contracted work as per the respective contractual documentation and in accordance with the applicable deadlines and local legislation
  • Responsible for the overall management of the allocated VAT compliance team with the primary focus to meet all aspects of client delivery on a timely and efficient basis
  • Accountable for ensuring that there are no receivables that exceed 60 overdue days;
  • Accountable for the completion of on-boarding and registration/de-registration processes within the contracted timelines.
  • Oversee the identification and end to end realisation of opportunities for additional work within the allocated VAT compliance team (identification, understanding, approval, delivery and billing)
  • Supports VAT Compliance Director in implementation of client contact strategy ensuring at least annual performance reviews with key clients; attends client meetings as required and where possible based on the client survey responses suggest and implement clear follow-up actions.
  • Accountable for the client allocation and organisation of work within the team; ensures that internal controls are implemented and policies and processes are adhered to
  • Acts as the focal point for the VAT compliance team to internal and external stakeholders / clients on daily operational escalations and issues.
  • Works closely with management to set expectations and communicates expectations to the team
  • Has a comprehensive technical and functional understanding of all compliance service delivery processes
  • Accountable for review and approval of returns
  • Accountable for the professional relationships and effective liaison of all team members with clients and TMF Local Offices
  • Involved in system testing & coordination with IT teams on system changes, upgrades, enhancements and IT issue log
  • Accountable for ensuring that all necessary procedures associated with compliance processes and controls are maintained
  • Responsible for creating a high-performance team by focusing on team development, satisfying work experiences and accountability for team results and performance and ultimately retention
  • Manages the development and workload of compliance team staff
  • Provides supervision, training and guidance to team members on specific tasks; identifies the need for specific technical trainings and arranges such trainings with the VAT Technical Manager. Ensures that all team members undertake required training
  • Monitors staff performance and provides necessary coaching & mentoring
  • Accountable for identifying and monitoring client operational risks and in conjunction with the Senior
  • VAT Compliance Associates and local offices address tax risks and suggest actions for mitigating
  • Accountable for identifying and monitoring client commercial risks and suggests actions for mitigating them
  • Supports the VAT Compliance Director with the implementation of changes to the organisational structure and monitors its efficiency
  • Provides support and supervision during the roll-out of relevant tax technology in the team within agreed deadlines.

Job specific requirements

  • 6-8 years’ experience in a similar role
  • 2- 4 years of direct people management experience
  • Degree holder in finance, accountancy or business-related disciplines preferable
  • ACCA/CTA qualifications are desirable
  • Resourceful, independent and strong problem-solving abilities
  • Excellent written and verbal communication skills, with strong ability to plan ahead and organise
  • Analytical, structured mind set with ability to follow and build upon existing processes and ensure data is maintained with accuracy and consistency
  • Fluency in English is required
  • Proficiency in MS Excel, MS Word and MS Outlook is essential, along with experience of local accounting system
  • Experience in an outsourcing firm with strong client servicing skills is preferred

Key results Areas & Key Performance Indicators

  • Accountable for smooth onboarding of new clients
  • Accountable for ensuring the team implement standard approaches aimed to ensure VAT revenue on current clients is maximised (additional registrations, out of scope, cross-sell, upsell) and implement clear follow-up actions
  • Nurture client relationships to maximise revenue and minimise attrition
  • Accountable for monitoring and increasing efficiency of delivery of the team, with the aim to reduce non-chargeable time
  • Accountable for management of all clients and related recurring tasks under their span of control acting as a reviewer and an internal and external point of escalation where necessary
  • Accountable for maintaining Last Twelve Months (LTM) attrition levels below 20% for employees within their span of control
  • Support process enhancement and continuous process improvements, utilising systems as required
  • Support VAT clients in remaining compliant with relevant local tax legislation
  • 100% timely and accurate time writing for own time and validation and signoff for employees within your span of control
  • Accountable for 100% Data Entry completeness and accuracy within the relevant reporting systems
  • Accountable for 100% Compliance to Tax Reporting Deadlines
  • 100% Adherence to ISO27001 Data/information Security protocols
