Description
Under the direction of the Executive Vice President (EVP) and CFO, the incumbent uses significant judgment in decision-making and performs a wide variety of specialized administrative and managerial functions to support the Office of the EVP & CFO. The position is responsible for the College's Auxiliary Services, including, but not limited to supervising Auxiliary Services personnel. In addition, the position oversees and coordinates the day-to-day office operations to assure effective operation of the Division.
Examples of Duties
Essential Job Duties:Performs a variety of office management functions and administrative duties requiring an extensive working knowledge of the organization and programs of the College. Responsible for the College's Auxiliary Services including, but not limited to, bookstore services and the Campus Café. Supervises the Campus Café Manager, Food Services. Maximizes resources provided by Auxiliary Services including financial benefits to the College. Manages EVP & CFO's budgets and monitors expenditures for the EVP & CFO's office, Public Education Capital Outlay (PECO) funds, and General College. Representative for insurance adjusters and claims associates related to facility damages for all locations and other casualty claims. Prepares insurance claims and accounting reports. Serves as recording secretary at conferences or meetings taking official minutes. Prepares minutes in final form for distribution. Acts as coordinator with the public for scheduling conferences including room usage, time, place, and costs involved. Initiates request to EVP & CFO and President for approval of campus use and notifies appropriate departments. Ensures that the contract with the outside organization is signed and the valid insurance certificates are on file. Initiates the invoice for room usage and any additional services. Maintains construction project accounting reports and files and works with contractors. Prepares Professional Services contracts from approved contract requisitions. Follows through from initial processing to contract termination and maintains permanent listing of all Professional Services contracts. Completes Purchase Orders for Professional Services contracts. Reviews Annual Contract files and facilitates negotiations with contractors and appropriate college administrators to ensure that renewals, licensing, and insurance certificates are valid. Tracks and monitors contract periods to ensure contracts are renewed and/or renegotiated in a timely manner. Initially meets with the public, employees, and students, handling all incoming calls and correspondence, researching background information, and advising the EVP & CFO. Handles all incoming mail, answers correspondence, reviews outgoing mail and maintains pending file for follow-up. Serves on various committees and organizations as directed. Researches and prepares complex accounting reports as directed for the EVP & CFO's review and information. Creates, updates, and maintains manuals and distributes updates for the following: CFK Procedures, Board of Trustees Rules, and other manuals as assigned. Coordinates the Office of the EVP & CFO's efforts, activities, and responsibilities with regards to accreditation and reaffirmation. Maintains documents and collects material as needed for monthly Board of Trustees meeting. Distributes Board approved documents as needed. Works with various external auditors for financial and operational audits. Assists in College recruitment and retention efforts, as appropriate. Required to attend Graduation/Commencement ceremonies.
