Overall job purpose

This role is to provide effective and efficient organisational, secretarial and administrative support for the Audit team.

Responsibilities

  • Assist Managers with their day-to-day tasks, eg. diary management, arranging meetings, booking meeting rooms, car parking spaces and catering
  • Book travel
  • Raise and issue monthly client billing and coordinate with Credit Control as needed
  • Update client records on billing system
  • Assist with client take-on procedures and internal administration, including preparation of client engagement letters
  • Prepare draft audit plans and findings reports
  • Type letters, agendas and reports in accordance with the Firm’s standard procedures

Team Support

  • Request, monitor and process bank letters and investment confirmations for audit purposes
  • Print off and arrange for accounts to be filed at Companies House and track on internal spreadsheet
  • Scan documents and help process departmental post
  • Ensure that timesheets are completed at month end and assist with timesheet completion/amends
  • Prepare presentations and proposals in line with the Firm’s templates/branding
  • Type financial reports and accounts
  • Assist with external seminars as required, including greeting clients
  • Help maintain marketing customer relationship management software
  • Help organise internal team meetings, socials and cards/collections

Requirements

The role requires:

  • Typing speed min 60 wpm
  • GCSE English – B (or equivalent)
  • Word – Intermediate level
  • Accuracy of typing – Excellent standard
  • Excellent communication skills
  • Strong team working
  • Good attention to detail
  • Experienced user of Microsoft Outlook along with good diary management skills
  • Good listening and questioning skills
  • Strong attention to detail to assist with CRM data entry and management (Dynamics)
  • Experienced user of PowerPoint – create and update branded documents and presentations
  • Support the marketing and business development team with administrative tasks as required
