The AP Manager will be primarily responsible for planning and organising resources to perform routine and scheduled functions as well as respond to business unit questions. The Manager will ensure that the team is effectively trained in their assigned processes and work products are appropriately reviewed and communication on changes or issues are distributed. The manager will model the core values of the department in their deadlines with others and will develop and implement practices that ensure the satisfaction, recognition and engagement of their team members. The manager will work to ensure processes are operating effectively and efficiently, implementing best practices and improvements in a standardised way across the AP function.

Key Responsibilities:
  • Lead the Accounts Payable (AP) Shared Services function & ensure that controls and standard practices are in place for payables processing within the various business units
  • Provide guidance & resolution on reconciliation of outstanding transactions
  • Provide support for internal & external audits
  • Ensure accuracy in processing daily invoices and deadlines are met
  • Main contact for resolving escalated cases
  • Co-ordinate & assist with the month-end process for AP
  • Ad Hoc Analysis - this will be a mix of once-off & recurring information requests dependent on key initiatives of the business at that time
  • Assist in developing and implementing process improvement and best practice across the AP function
  • Measure, monitor & report on KPI's related to the team's processes
  • Ensure methods and controls are in place and being adhered to ensuring a stable and high quality service delivery at all time
  • Coordinate with business units (Procurement, Supply Chain, Finance) on a monthly basis on top vendors invoices & payment status providing detailed Invoice Failure Analysis, defaulters and proposed solutions to reach resolution
  • Manage and develop the AP team, ensuring that a proper team structure is implemented
  • Assist with coordinating processes and workloads for the AP team
  • Manage team resources and processes to ensure a robust cross-training plan is in place
  • Identify the training needs, develop the training, calendar for cross-training and skill development for AP team
  • Set KPI's and continual employee development for the team
  • Deliver quarterly performance appraisal discussions and annual assessments
  • Maintain a stimulating work environment to motivate staff performance and facilitate employee retention
  • Degree in Business & Finance/ATI experience/Strong Accounting Experience (preferred)
  • Minimum 5 years working experience in a same capacity
  • Knowledge of best practice AP operations and processes, specifically end-to-end understanding of the process
  • Ability to lead and manage change and implementation of process improvements
  • Excellent verbal and written communication skills
  • Excellent analytical and problem-solving skills, process driven, systematic, analytical with a keen eye for details
  • Ability to work to tight deadlines
  • High level of integrity and ethics
  • Advanced experience & knowledge of MS Office suite, especially Excel, Word & Power BI
  • High attention to detail and ability to handle large data reports with an excellent degree of accuracy, interpreting and presenting data using graphs and charts
  • Knowledge of automated AP systems is a distinct advantage (Soft Co, Glantus)
  • Ability to adapt quickly to changes in systems and technology
  • Excellent attention to detail
  • Excellent organisational and time management skills with the ability to manage several priorities at once and meet competing demands to satisfaction of all
  • Self-starter with the ability to work effectively both independently and in a team environment as required
