Client Details
A leading Billingshurst based organisation are looking to recruit an Office Administrator on a permanent basis.
Description
As Office Administrator you will be responsible for:
- Receive instructions from relevant personnel to understand the scope of work allocated
- Liaise with colleagues and authorities to enable you to collate responses
- Complete necessary and relevant desk research as required for each search
- Prepare, issue and update documents within agreed timescales
- Raise disbursement cheque/payment requests, seeking authorisation as necessary and updating system
- Prepare basic reports for checking and approval
- Assist with the preparation of reports for approval by a manager
- Answer calls received by the Searches team in line with company standards
- Process incoming project correspondence in a timely manner
- Proactively chase for responses, keeping your line manager informed of your progress regularly
- Proactively escalate issues to your line manager and/or external hierarchy as required confidently
- Attend meetings with relevant staff to review progress/status and prioritisation of projects
- Keep the Searches Manager appraised of project progress
- Establish and maintain excellent working relationships with statutory authorities & clients
- Identify key contacts and organisations to approach and maintain the company database
- Contribute to and always operate in accordance with company policy and systems
Profile
- Basic knowledge of Microsoft Office suite
- Accurate keyboard skills with the ability to enter data at the required speed
- Excellent spelling, grammar and punctuation skills
- Ability to analyse, interpret and translate data into relevant reports
- Excellent organisational and prioritisation skills
- The ability to manage conflicting priorities and meet tight deadlines
- Excellent interpersonal skills with all levels of business personnel
- A self-motivated team player with the ability to work on own initiative
- Comfortable asking for help when required
- Ability to problem solve and come up with a range of solutions to problems
- Detail orientated
