What will the apprentice be doing?

Key responsibilities:
  • Assist Office Manager & Purchase Ledger (PL) Clerk with day-to-day aspects of the accounts department.
  • Support the accuracy and timing of the monthly accounts closure.
  • Assist with annual audit pre-work and evidence collating.
  • Accuracy of entries to trial balance.


Day-to-day work:

Purchase Ledger:
  • Recording delivery notes & invoices in digital format, labelling correctly
  • Review and reconcile delivery notes with purchase orders and supplier invoices
  • Accurately code and input purchase invoices
  • Review and reconcile supplier statements ensuring all debts to the company are refunded and missing invoices are requested
  • Deal with all telephone queries from suppliers.
  • To file all correspondence relevant to all of above duties
  • Create purchase orders when necessary
  • Follow up issues with invoices to ensure resolution in a timely manner
  • Ensure new accounts are correctly set-up with appropriate information
  • Review information on PL accounts, ensuring they are up to date
  • Allocated payments to invoices for non-automatic payments
  • Provide relevant information upon request
  • Sales Ledger

Processing sales invoices:
  • Posting onto customers portals
  • Filing picking lists in numeric order
  • Review information on SL accounts, ensuring they are up to date
  • Supplier Payments & Credit control
  • Ensuring due accounts are requested for payment
  • Resolve invoicing queries
  • Review of debtors, invoices are posted on appropriate portals
  • Chase overdue accounts
  • Banking of cheques
  • Resolve invoicing queries
  • Monthly bank reconciliations
  • Credit card and cash expenses
  • Allocation of receipts to individuals credit card statements and follow up any missing receipts
  • Analysis expenses and allocate appropriate nominal codes
  • Obtain sign off and approval, process onto SAGE
  • Complete cash expenses, apply nominal codes, obtain sign off, approval and process onto SAGE

General Office Duties:
  • Ensuring cleaning and kitchen provision is adequate
  • Welcoming visitors and assisting in meeting room preparation
  • General tidy and upkeep of office and kitchen areas
  • Opening, handling, and/or distributing daily post

Payroll:
  • Assist payroll processing by;
  • Ensuring all clocking in and out are recorded and completed on Actin Time
  • Follow up absences, record accurately
  • Input time-sheets for the Fabrication department
  • In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time.

What training will the apprentice take and what qualification will the apprentice get at the end?

Training Provided:

An Assistant Accountant provides support to internal and external customers. The Assistant Accountant Apprenticeship is at level 3 - equivalent to A-levels - and will equip apprentices with skills and knowledge that can be directly applied in their roles.

This 18 month apprenticeship will prepare apprentices for junior and entry-level accounting roles. It delivers a solid foundation in finance administration, covering areas such as double-entry bookkeeping and basic costing principles. Learners will then move on to mastering more complex accounting disciplines including financial processes, advanced bookkeeping, final accounts and ethical practices for accountants.
