ROLE:
Reporting to the Team Manager, TA Liaison team (TALT), you will be responsible for dealing and monitoring the status of queries across a number of clients with a view to ensuring that queries are responded to within service level and ensuring delivery of a first-class service. You will have responsibility for leading a number of team members within the team and providing leadership, guidance and to support them on a daily basis.
The department provides third party investor services to a specific group of clients covering the full range of shareholder servicing functions including dealing, registration, AML, settlements, distributions and commissions.
The role would suit an ambitious energetic individual with TA knowledge, coupled with the ability to lead, motivate and engage partners. This role will be of interest to candidates who wish to progress their career in a dynamic, “best in class operation”.
PRIMARY DUTIES:
- Day to day oversight of processing quality and timeliness in all TA Dealing locations.
- Work as part of the wider TA team engaging with multiple locations and partners to support resolution of queries.
- Escalation point within the team for unresolved issues and queries.
- Responsible for monitoring deliverables / ensure all reporting is issued within agreed timeframes.
- Ensuring that KPI’s are achieved.
- Attend and actively participate in weekly oversight calls and ensure any challenges are documented and addressed.
- Attend all required operational and inter departmental calls and meetings. Represent the team at client facing meetings.
- Hold regular one to ones with all direct reports and ensure Team meetings are being held on a regular basis.
- Assist the Dealing Manager in establishing goals and objectives for the team and individual partners.
- Maintain and promote open channels of communication.
- Facilitate training and coaching for all team members. Ensure cross training is active within the team. Liaise with the training team if further training requirements are identified.
- Involvement in the recruitment process for new team members and ensure the on boarding process for new partners is supportive/ detailed/ robust/ documented.
- Conduct regular performance management reviews and provide constructive feedback to support and enable career development.
- Ensure all team members complete all mandatory training in advance of deadlines.
- Comply with Regulations and internal Northern Trust policies.
- Act as back-up to team Manager during annual leave or absence. Fulfil additional, relevant, tasks appropriate to the role and business requirements.
- Analyse data from internal systems to identify opportunities for coaching, training and service enhancements.
- Prepare and distribute operational and Client reporting (ensuring appropriate quality checks have been completed).
- Maintain a thorough knowledge of the operational team procedures and processes through strong relationships and a structured approach e.g., via huddles, regular meetings and procedure reviews.
- Be flexible in supporting client needs during peak activity or to resolve urgent queries.
KNOWLEDGE / SKILLS:
- A flexible approach to work and being capable of handling multiple priorities in a fast-paced environment.
- Accuracy and attention to detail is critical.
- Strong PC Skills – thorough knowledge of MS Word & Excel and ability to learn systems used within the Business (Essential).
- Excellent oral and written communication skills.
- Effective verbal reasoning and numeric skills (Essential).
- Excellent planning and organisation skills to enable effective resource management.
- Ability to motivate others and promote partner engagement.
- Strong analytical and problem-solving skills.
- High degree of professionalism, drive and enthusiasm.
- Ability to work on own initiative.
- Ability to review and resolve complex queries.
- Knowledge of Fund Administration and the regulatory environment.
- High level of awareness of effective risk management.
- Ability to set priorities and manage deadlines, escalating issue where necessary.
- Good team player, self-starter, with the ability to work under pressure with minimal supervision.
EXPERIENCE:
- Transfer Agency Dealing experience is highly desirable.
- People management/ supervisory experience highly favourable.
- Previous client facing experience is favourable.
- Experience with instilling a strong client service culture in teams is desirable.
- Strong communication, problem solving, planning, presentation, leadership and motivational skills are required.
