Reporting to the Director, Index Control and Audit this role will play a key part in FTSE Russell's external assurance policy. The plan is to build on the current controls and management reporting that is in place. To also streamline the existing KPI's and to review the existing KPI's so that we encompass statistics of value for reporting the quality and timeliness of FTSE Russell's service.
The team will act as a central co-ordinator for all Operations risk based controls and initiatives, software enhancements and audit based process change ensuring good project-management discipline, status tracking and issue resolution. The team will liaise closely with all areas of the business and in particularly Index Management and Client Services
Strong Management information is critical to FTSE meeting its efficiency and effectiveness targets, so the team will be responsible for producing this management information in the most effective and accurate manner.
Key Functions / Responsibilities / Objectives
Assisting with the production of KPI's. Review underlying data and validate the report to ensure data is accurate.
Production of various reports for committees and governance. Assist with the newly created Service Review metrics.
Ensure Operations business continuity plans are effectively maintained and updated.
Tracking and updating incidents using JIRA. Identify trends and work with Index Teams to implement preventative improvements.
Assist with the running of various meetings such as post mortems and regulatory meetings.
Use analysis to highlight risks and potential process/system improvements. Full focus must be given to reducing risk and improving the quality of service to FTSE clients Manage the Operational Risk through the diligent application of internal controls and pro-active action to keep within agreed key performance indicators.
Assist with the maintenance and governance of the FTSE Russell index series inventory which is required as part of EU BMR.
Assist with internal and external client and regulatory audits. Assist with the gathering of evidence and work closely with Index Teams, Legal, Risk and Compliance.
Qualifications/Skills
Training will be provided but it is expected with limited supervision the candidate will be able to deliver each of the key objectives of the role identified above. It is therefore expected that he or she will have:
The ability to research - using a pro-active approach, keep abreast of the data / information needs of our clients and translate this into changes which deliver improvements to our services and methods of distribution.
Good time management - managing one's own time and the time of others so that reporting deadlines are met.
Knowledge of the Financial Data & Fund Management Industry - A fundamental knowledge of the data market and the fund management / banking industry is important.
The ability to anticipate demands for improvements and / or changes to products and services, apply best practice is essential
Good communication - talking to others to convey information effectively either on a one-to-one basis or presenting ideas and concepts to groups.
Active learning - understanding the implications of new information for both current and future problem-solving and decision-making.
Excellent knowledge of excel is essential and knowledge of SQL and VBA an advantage
Knowledge of Microsoft Teams and PowerBi an advantage
Work Activities
Business intelligence - set up formal and informal information channels to ensure you and your team are fully aware of internal and external developments that will affect the delivery of Operational services.
Communicating with supervisors, peers, or subordinates - providing information to supervisors, peers, and subordinates to ensure transparency and effective production of the indices.
Establishing and maintaining interpersonal relationships - developing constructive and cooperative working relationships with others and maintaining them over time.
Resolving conflicts and negotiating with others - handling complaints, settling disputes, and resolving grievances and conflicts, or otherwise negotiating with others. In particular this role must closely liaise with the Global Head of client Services
Evaluating information to determine compliance with standards - using relevant information and individual judgment to determine whether events or processes comply with laws, regulations, key performance measures, key risk measures or quality standards.
Making decisions and solving problems - analysing information and evaluating results to choose the best solution and solve problems. This role has a good deal of autonomy in that decisions may be made without referral providing they do not adversely impact budget, risk or quality measures.
Updating and using relevant knowledge - keeping up-to-date technically and applying new knowledge to the job
