Responsible for supporting the Vendor Managers within the Global Fund Services Vendor Management Team to ensure all administration tasks are completed in accordance with the Third Party Management Practise Standard. The role will focus on the key vendor relationships within Global Fund Services and will require the role holder to fully understand the service provided by each vendor, together with their interdependencies and impacts across each jurisdiction.

The role holder will be required to manage all administration requirements for the team including but not limited to invoice Management, diary scheduling and reporting.

The Role has the possibility to develop into a junior Vendor Manager role for the right candidate.

Principal responsibilities:


  • Responsible for supporting the Vendor Managers with day to day vendor relationships within Global Fund Services
  • Team diary management and scheduling key Vendor events
  • Maintaining the up keep and storage of all vendor documents and contracts within the specified NT systems in line with the Third Party Management Standard
  • Manage the Vendor invoice process, ensuring all invoices are approved and processed within the contractual timescales.
  • Update and maintain Vendor issues logs and resolution status
  • Provide reporting & MI for the Vendor Managers
  • Liaise with procurement for the administration and resolution of Purchase Orders and SOW’s
  • Day to day oversight, monitoring of team email inboxes and responding to general email and phone enquiries from Vendors and or Northern Trust Teams
  • Fulfil additional, relevant tasks appropriate to the role and business requirements within the Vendor Management Team


  • Employees are required to comply with the regulatory regime in which Northern Trust operates as appropriate to the above role
  • Employees are expected to exercise due care and diligence, ensuring the areas the incumbent is responsible for are organised and controlled
  • Employees are required to observe proper standards of market, business and personal conduct, demonstrating integrity in the execution of duties

  • Regulators including, FCA, CBI, CSSF and FED
  • External Clients
  • Vendors
  • External Auditors / Trustees and Compliance

Skills / Competencies required:

  • Strong Customer Service experience would be beneficial
  • Working knowledge of P2P systems (e.g Oracle Peoplesoft) preferable although not essential
  • Excel, Word and PowerPoint proficient
  • Ability to present information succinctly
  • Customer service experience would be beneficial
  • Analytical skills are required to research and resolve enquiries
  • Extremely strong interpersonal skills
  • Highly articulate with good communication skills
